Get told when a booking comes in
Have new bookings and cancellations emailed or texted to your venue.
Bookings guests make on your page land in your diary. If nobody is looking at the diary, nobody at the venue knows they are coming. Booking alerts send you a message the moment one arrives.
Open Bookings → Your booking page and find Get told when a booking comes in, then press Set it up.
Turning it on
- 1
Switch it on
Turn on Tell me when a booking comes in.
- 2
Say where to send it
Add an email address, a mobile number, or both. A shared inbox works well — the duty manager, or the bar. It does not have to be the address you log in with, and it usually shouldn't be: the person who signed up is often not the person on the floor at 7pm.
- 3
Save
Press Save at the top of the screen.
You cannot switch alerts on without giving us somewhere to send them. If you do, the screen will ask you for an address or a number before it saves.
What you get told about
You will hear about:
- A new booking a guest made on your booking page.
- A new booking that arrived through the bookings API, if you have an integration.
- A cancellation, when a guest cancels their own booking — so you know that table is free again.
Note
Only bookings you didn't make yourself. A booking somebody on your team types into the diary, or takes on the till, never sends an alert. They were standing there when it happened, and an alert about your own work quickly becomes an alert you ignore.
You get one message per booking. If a guest books and then cancels, that is two messages, because they are two different things you need to know.
What the message says
Who booked, how many people, when, which site if you have more than one, and the booking reference — plus a link straight into your diary for that day.
It deliberately does not include the guest's phone number, email address, or anything they told you on the booking form (allergies, access needs, notes). That information stays in the diary, behind your login, rather than sitting in a mailbox. Open the booking to see it.
Text messages aren't sending yet
You can enter a mobile number and save it, and the screen will show Set up — not sending yet next to it.
Nothing to fix on your side. Text messaging is not switched on at our end yet, so nothing is sent to that number. Your number is saved and will be used the moment texts start sending — you will not have to come back and set it up again.
Because of that, add an email address as well if you want to hear about bookings now. Unlike a guest's booking confirmation, which falls back to email if a text cannot go, a venue alert has nothing to fall back to: if you have given us only a mobile number, nothing will reach you.
Checking it works
Take a test booking on your own booking page — there is a card for it on Your booking page. It goes through exactly as a guest's does, so it sends a real alert, and you can cancel it from the diary afterwards.
If nothing arrives, check the address for a typo, and check your spam folder.
Multiple sites
One set of recipients covers every site on your account. The message names the site the booking is for, so you can tell them apart. If you need bookings for different sites to reach different people, tell us — it isn't built yet.
