Full vs partial refund

Refund the whole order, or only part of it — and how the sale reads afterwards.

Both are supported on the terminal:

  • Full refund — refund the whole order (or the whole of one payment).
  • Partial refund — refund less than the full amount: type a custom amount, or tick specific items to add up to it. Also covers one payment out of a split bill, or the remaining balance after an earlier partial refund. The sale then reads as Part refunded and the screen shows how much is left to refund.

A sale paid in more than one part (a split bill) is always refunded one payment at a time — full or partial applies per payment, since each part of a split can sit on a different card. There's no single button that refunds every payment on a split sale at once.

Cash sales on the till

A cash sale refunded from the till's Records screen works the same way: the whole of what's left, a custom amount, or specific items. Two differences:

  • Specific items go by quantity. Each line has a counter, so you can refund one of three pints rather than the whole line. Quantities refunded earlier are shown against the line and can't be refunded again.
  • A split bill is refunded per cash payment. Each cash part has its own Refund cash button. A sale paid in cash in one go has a single Refund cash for everything left.

Either way the till asks for a reason before it records the refund. See Refund a settled sale for the steps.

Reading a partial refund later

The till's Records screen and the portal's sales log both reflect the current status. If a leftover balance looks wrong, open the sale detail: it lists each payment, how much has been refunded, and how much is left. On the till, the detail also strikes through the refunded quantities and lists every refund underneath, with its amount, Cash or Card, the reason and who gave it.
