Schedule

Build the rota — place shifts on days, attach staff, and copy a week forward.

The Schedule is your rota. You place shift templates onto days in a calendar, then attach staff to each shift so you can see who works when.

Staff must be switched on for your account for this to appear. If you don't see it, ask your account manager.

Where to find it

From the sidebar, open Schedule under the Staff section. It opens on the current month; use the month controls (and Today) to move around.

Heads up

Build your shifts first. The Schedule places shift templates onto days — it doesn't create shifts inline. If you haven't built any yet, you'll see a banner saying so; go to Shifts and create one or more first, then come back here.

Place a shift on a day

  1. 1

    Open a day

Hover a day and click the + (or click the day). A small Add a shift modal opens for that date.

  2. 2

    Choose a shift template

The modal lists your shift templates. Click the one you want — its hours and break are copied onto that day, where you can fine-tune them for that one occasion. (If the list is empty, you have no templates yet — build one on the Shifts page first.)

  3. 3

    Attach staff

The placed shift appears as a coloured chip on the day. Click it to open its detail, then attach the staff working it — you can add more than one person.

Editing and removing

Click a placed shift to open it and change its hours or break, add a note, change who's assigned, or delete it. Editing a placed shift only changes that day — it doesn't change the underlying template. The shift's access role follows the template it came from.

Copy a week forward

When a week's rota repeats, you don't have to rebuild it. Use the copy week control beside a week to copy that week's shifts — and who's on them — onto the following week, then adjust the few that differ.

Note

Only active staff appear in the picker when you attach people to a shift. Mark someone inactive on their member page to keep them off the rota without deleting their record.

If you run more than one venue

A venue filter appears above the month. Pick one and the rota shows just that place's shifts, so you can answer "who's on Friday at the Anchor" without reading both rotas at once.

Placing a shift while a venue is selected puts it at that venue. Copying a week forward keeps each shift where it was.

Note

A shift's venue records where the work happens. It does not limit who can be put on it: anyone on your team can be scheduled at any venue, which is how covering someone else's shift works. If a shift has never had a venue set, it shows on every venue's rota rather than disappearing from all of them.

If you only have one venue, none of this appears.

If your rota comes from Rotaready

If you have connected Rotaready, its published shifts appear here by themselves, marked From Rotaready. You can open one to see its hours and who is on it, but you cannot change it, move people on or off it, or delete it here. Change it in Rotaready and it updates here on the next sync. If you do try to change one, you will see "This comes from Rotaready. Change it there."

Copy week leaves Rotaready shifts out, because Rotaready publishes the next week itself. It copies only the shifts you placed.

Time off booked in Rotaready shows on the day as Off with the person's name. It never shows the type of absence or the reason.

Shifts you place yourself work exactly as before.
