Timesheets
See worked hours from the time-clock against what was scheduled, and fix entries.
Timesheets show what your team actually worked — from the time-clock kiosk's clock-in and clock-out records — next to what you scheduled, so you can see where the two differ.
This needs the Time & Attendance add-on on top of Staff. If you don't see it, ask your account manager.
Getting there
From the portal, open the Staff section in the left sidebar and click Timesheets. It opens on the current week.
Pick a date range
At the top are two date fields, From and To, each with a calendar picker. Set the start and end of the period you want and click Apply — the tables reload for that window. For "last week", set From to last Monday and To to last Sunday.
Worked vs scheduled
The first table summarises, per staff member and day:
- Scheduled — the hours you planned on the Schedule.
- Worked — the hours recorded by the time-clock, plus any manual corrections.
- Variance — Worked minus Scheduled. A positive number (green, with a "+") means they worked more than planned; a negative number (red) means fewer. It's how you spot over-runs and early finishes.
Click a column header to sort.
Which day an entry counts on
An entry counts on the day it was clocked in, in your business's own timezone — so a clock-in at 00:30 on a Tuesday counts on Tuesday, in summer as well as winter. Both tables use the same rule, and the date range picks entries by it too.
If your venue's trading day ends after midnight (for example a bar whose day runs 03:00 to 03:00), the timesheet follows that venue's trading day: a clock-in at 00:30 counts on the night before, like the sales from that night. Entries with no venue follow your main venue.
If you run more than one venue
A Location picker appears next to the date fields. Pick a venue and both tables narrow to it — the worked-vs-scheduled summary and the clock entries below it, together, so the totals and the records always describe the same place. Leave it on All locations for the whole group.
The venue on an entry comes from the till someone clocked in on. That means two kinds of record have no venue of their own:
- anything you added or corrected here in the portal — there was no till involved, so there is nothing to record; and
- anything from before venues were recorded, or from a till that has not been assigned to one.
Those records show up under every venue rather than disappearing from all of them, because they are real hours somebody has been paid for. The side effect is that adding your venues' totals together can come to more than the group total — the unassigned time is counted in each. The group total is always the honest one.
Picking a venue sticks while you change dates, fix an entry or add one, so you stay where you were.
If you only have one venue, none of this appears.
Clock entries
Below the summary is the Clock entries table — the individual clock-in / clock-out records in the range, with columns Staff member, Clock in, Clock out and Source:
- Source is kiosk (recorded by the time-clock) or manual (added or corrected in the portal).
- A forgotten clock-out shows "Still clocked in" in amber instead of a time — that's your cue to fix it.
Fix a forgotten clock-out (or any wrong entry)
- 1
Find the entry
In the Clock entries table, find the row — the one showing "Still clocked in", or whichever time is wrong.
- 2
Open it
Use the row's actions menu and choose Edit. A modal opens with the clock-in and clock-out fields.
- 3
Set the times and save
Enter the correct Clock in and Clock out (leave clock-out blank only if they really are still clocked in), add an optional note like "forgot to clock out", and click Save changes.
After you save, the page reloads and the Worked and Variance figures recalculate to match. Editing a kiosk entry turns it into a manual one — you're correcting that record, not adding a second.
Add a manual entry
If the kiosk missed a shift entirely, click Add entry, pick the staff member, set the clock-in and clock-out, and save. Use this when there's no record to edit; use Edit when a record exists but is wrong.
Delete an entry
To remove a record that shouldn't exist at all (logged by mistake), open its Delete action and confirm — this can't be undone. Deleting is different from editing: edit to correct a real shift, delete only to remove a bogus one.
Trouble saving?
If a save bounces back with an error at the top of the page (clock-out before clock-in, a bad time), see Timesheets troubleshooting.
