Staff, in one list

Everyone on your team in one list. Add a person, give them a till PIN, and optionally a portal account, in one go.

The Staff list shows everyone on your team in one place: the people who sign in on your tills, the people who have an account for this portal, and you.

This screen is being switched on account by account. If you don't see it, your account still uses the separate Staff members, Passcodes and People screens.

What the list shows

Each person appears once.

| Column | What it tells you | |---|---| | Name | The person, with their job title underneath. | | Access profile | What they can do on the till. | | PIN | Set, No PIN, or Not on the till for someone who only has an account. | | Account | Active, Invited or None. Only the owner and admins see this column. | | Site | Where they can sign in. Only shown if you have more than one site. | | Status | Active, Off or Archived. |

Use the chips above the list to narrow it: Everyone, On the till, Has an account, No PIN and Archived. Archived people are hidden unless you pick Archived. Search finds a person by name, email or phone, and Export downloads the list you are looking at.

If you use Rotaready, people matched to someone there carry a Linked to Rotaready label next to their name, and anyone Rotaready says has left gets a notice above the list with Archive and Dismiss. See Staff members.

Edit someone from the list

Click a person to open a panel on the right, without leaving the list.

In the panel you can change their first name, last name and access profile, set or change their PIN, and tick the sections they serve. Click Save at the bottom of the panel to keep your changes. Archive is there too, for someone who has left.

Close the panel with the cross, by clicking outside it, or with Escape. Changes you have not saved are dropped.

For everything else about a person, such as their job title, phone number or portal account, click Open full profile in the panel.

Note

People who only have a portal account, and are not on the till, open on their full profile instead of the panel.

Add someone

  1. 1

    Click Add staff

The button is at the top right of the list.

  2. 2

Enter their name and job title

A first name is required. The job title is optional.

  3. 3

    Pick an access profile

This sets what they can do on the till. If the list is empty, add a profile first. See Roles and permissions.

  4. 4

    Give them a PIN

Type four digits, or click Suggest one for a PIN nobody else is using. They type this to sign in on the till. You can leave it blank and set it later.

  5. 5

Pick a site (only if you have more than one)

A site limits them to tills at that site. All sites lets them sign in on any till.

  6. 6

    Click Add staff

They appear in the list straight away and can sign in on the till with their PIN.

PINs

A PIN is exactly four digits, and no two people can share one.

If you type a PIN somebody else already has, the person is still added, without a PIN, and a message tells you to set another. The message never says whose PIN it is.

Give someone an account

The owner and admins see a Give them an account switch at the bottom of the Add staff box. Turn it on to let this person log in to the portal as well as the till.

  1. 1

Turn on Give them an account

    Two more fields appear.

  2. 2

    Enter their email address

We email them an invite. They choose their own password.

  3. 3

    Choose what they can see

Pick a level, or Custom to tick exactly what they can open. The list underneath shows what the level gives them.

  4. 4

    Click Add and send invite

Their account shows as Invited until they accept.

Note

If the address already has a Tillable login, no email is sent. They are added straight away and sign in with the password they already use.

Only the account owner can make someone an admin.

Who can do what

  • Anyone who can edit staff can add a person and set a PIN.
  • Only the owner and admins can give someone an account, and only they see the Account column.
