Staff overview
Start here — what the Staff module covers and how the pieces fit together.
The Staff module is where you manage your team — who they are, what they're allowed to do on your terminals, and when they work.
Staff must be switched on for your account for this to appear. If you don't see it, ask your account manager.
Where to find it
From the sidebar, open the Staff section.
What it covers
- Staff — everyone on your team in one list. Each person has their details, an access profile, a four digit PIN they use on devices and, if the owner or an admin gives them one, an account for this website. New people start with every section of your floor plan (a tick box when you add them, on by default), so they see every table on the till from day one. If your account has more than one site, each person also has a Site, which decides the tills they can sign in on. When someone leaves you archive them: their PIN stops, and their timesheets and sales are kept. See Staff, in one list and A person's profile.
- Staff Roles — access profiles that control what a staff member can do on the terminal when they sign in, including which sections of the till's Till admin screen they can reach. See Roles and permissions (which now includes Set product availability for the till's Availability section, Kitchen orders for checking what reached the kitchen, and lets you choose which discounts each role may apply) and Who can see what in Till admin. Changing a role needs a login that may edit staff; someone who can only view staff sees the roles but cannot add, change or delete one.
- Shifts — a reusable library of shift templates (name, hours, break, colour). See Shifts.
- Schedule — the rota: place shifts onto days and attach staff. See Schedule.
- Timesheets — worked hours from the time-clock, compared with what was scheduled. Needs the Time & Attendance add-on on top of Staff. See Timesheets.
How the pieces fit together
You build your roles first, so you have access levels to assign. (The Staff Roles page offers four ready-made ones, Manager, Supervisor, Server and Kitchen, that you can create in one click.) Then add your staff and give each a role and a PIN. You build your shifts once as templates, then place them on the schedule and attach the right people. If you use the time-clock, timesheets then show what was actually worked against what you planned.
Tip
New to this? Walk the whole chain in order — role, person and PIN, shift, schedule — in Set up a new team member end to end.
Settings is where you switch on staff sign-in for the whole account, so you can see who took each sale. That's separate from locking an individual device — see Let staff sign in on any device for which one you want.
Who can do what
A Manager can add staff, change them and set their PINs. Only the account owner and admins see or manage accounts.
If your menu still shows Staff members and People
The one Staff list is being switched on account by account. Until yours is switched, the first row of the Staff section is Staff members, PINs are made under Store settings → Passcodes and then assigned to a member, and logins for this website are a separate list under Account & settings → People. See Staff members.
