Who can see what in Till admin
Till admin is the manager side of the till. Control it with staff roles, or with a passcode per section — whichever suits the size of your operation.
Till admin is the manager side of the till — the cash drawer, the end-of-day count, reports, wastage, batches, the card-machine pairing, training mode and pausing the kitchen. Staff reach it from the Till admin button at the top right.
You choose who gets to what, and there are two ways to do it. Pick the one that matches how you run the place.
If your staff sign in with their own passcodes
Use staff roles. Each section of Till admin is a tickbox on the role, so a role can have the cash drawer without the reports, or the reports without anything else.
- 1
Open the role
Staff → Roles, then the role you want to change.
- 2
Tick the Till admin sections
Under Till admin, tick only what that role should reach.
- 3
Save
The change reaches the tills on their next check-in.
Two things follow from this, and both are deliberate:
- A role that has none of them doesn't see the Till admin button at all. There's no door to try and be refused at.
- A role with one of them opens straight onto that one section.
Nobody signed in with their own passcode is asked for a second, shared PIN — they've already proved who they are, and their role has already decided what's on screen.
If everyone shares a passcode
Use the section passcodes on the mode. This suits a smaller site where everyone works off one or two shared codes.
- 1
Create the passcode
Store settings → Passcodes, add it with Type set to Generic. See Generic vs Staff passcodes.
- 2
Open the mode
Modes, then the mode your tills run in.
- 3
Attach it to a section
Under Passcodes → Till admin, pick the passcode next to each section you want locked. You can use the same code for all of them, or a different one for the sections that matter most.
A section with no passcode attached opens straight away. That's the default, and it's what a till does out of the box. The one exception is Tables — see below.
Note
If you set up both, staff roles win. A signed-in member sees what their role grants and is never asked for the shared code.
Tables: off until you switch it on
Till admin → Tables is where a manager closes a table that's stuck open and reopens a bill that was closed by mistake. Because it touches money that has already been taken, it works differently from every other section: it never opens unlocked.
- With staff sign-in: only roles with Table management ticked see it. No role has it to start with — not even Manager, and no ready-made role includes it. Tick it in Staff → Roles for the people you trust with it.
- Without staff sign-in: the section stays hidden until you set a Tables passcode on the mode (Modes → Passcodes → Till admin → Tables). The picker says Hidden on the till until you do.
- A manager override doesn't open it. The person signed in needs the tick on their own role.
- It needs the internet. Offline, the till says so rather than opening it.
What's in Tables
- Open now lists every open bill, oldest first, with what's owed. A bill open for more than 3 hours is flagged OPEN, and one that's paid in full but never closed is flagged STUCK.
- Closed today lists the bills closed since your trading day started, with how each was paid, and the ones cleared by hand with the reason.
Closing a table by hand
Tap Close on an open bill. The till checks the bill with our servers first, and what it offers depends on what it finds:
- Nothing on it — Close empty bill.
- Already paid, but never closed — Close as paid. The till shows the payment it found. If the payment doesn't match the bill, or the bill looks paid twice, it won't close it here: check it in Records first.
- Owes money, nothing paid — pick a reason (your void reasons, plus Customer walked out, Paid on another bill and Test or training) and tap Close without payment. The whole bill goes into Reports → Voids with the reason and who cleared it.
- Part paid — it can't be closed here. Take payment for the rest, or refund what was paid first.
It also won't close a bill while a card payment is in progress, while a room charge is on it, while this till still has something to send for it, or while a booking deposit on it hasn't been used.
Reopening a closed bill
Tap Reopen on a bill in Closed today. Every payment on it has to be settled inside the dialog before the bill comes back:
- Card, charged — tap Refund £x. The refund goes back to the card straight away.
- Card, not charged — the till asks the card machine. If the machine says the card was declined, enter your PIN to confirm no money was taken. If the machine can't be reached, or has no record, you can only try again — there is no way to confirm "not charged" without the card machine saying so.
- Cash — the till asks Did you take this cash? Yes refunds it from the drawer (the drawer opens). No asks for your PIN to confirm it was never taken. Cash taken on another till has to be reopened from that till.
Then pick why you're reopening it — Closed by mistake, Guest ordering more, Paid the wrong way or Other — and tap Reopen. You get a new bill on the same table with the same items. Nothing is sent to the kitchen again, and a banner on the bill says who reopened it and what was refunded. The original bill stays closed, so today's earlier reports don't change; the refunds count from now.
Refunds here follow the same rules as Records: a role needs Refunds & voids to refund, and on a till without staff sign-in the Refunds passcode is asked first. A confirming PIN must belong to someone whose role has Table management (or Staff override).
Today's bills only. Bills paid by gift card, room charge, deposit or with a tip need refunding in Records first.
Two things that live inside a section
Not everything in Till admin is decided at the section level, and these two catch people out:
-
End of day is its own item in the menu, and has a tick of its own — Run end of day on the role. A member without that tick does not see the item at all. There is also a button inside Cash drawer that goes to the same place, for when you are already in there; if a member can reach the cash drawer but not the count, the till says so in words rather than just leaving it out, so nobody spends closing time hunting for a button that was never going to appear.
The item only exists at all on a venue that uses the end-of-day count. If your venue runs the cash drawer ledger instead, there is no End of day in the menu and nothing else changes. See Doing the end-of-day cash count.
-
Printer settings has moved to General. It used to sit under Cash drawer, only because a missing printer is why the "Open cash drawer" tile disappears — which made it look like a cash-drawer problem. A receipt printer is the till's own hardware and has nothing to do with how you count cash, and a venue on the end-of-day count has no cash drawer section to find it in at all.
After a cash refund
Till admin → Cash drawer has a setting called After a cash refund. It decides what happens to the items when staff refund a cash sale from Records:
- Put back in stock (the default) — the refunded items go back into stock. If they can't be sold again, your team records them as wastage separately.
- Waste automatically — the refunded items are recorded as wastage straight away, tagged with the refund reason staff picked. When an item comes back unused, staff can still switch on Nothing to waste — put back in stock for a single refund and the items go back in stock instead.
Anyone who can open the Cash drawer section can change it. It's one setting for the business, not per till, and it's the same one as Store settings → Cash drawer in the portal. A venue on the end-of-day count doesn't see it on the till, because that pane shows the count instead; change it in the portal. Either way, the drawer still opens for the cash. See Refund a settled sale.
Things worth knowing
- Re-entering asks again. A locked section asks for its passcode every time it's opened, not once per shift.
- It still works offline. Once a section has been opened with its passcode on a till, that till can open it again with the network down. The very first time has to happen online.
- Wastage is gated on its own tile, not on the section — so it asks once, when you tap Record wastage, rather than twice.
- Kitchen orders is its own section, with its own tick on the role — Kitchen orders (see, resend & reprint) — and it shares the Kitchen passcode slot on the mode. See Kitchen orders below.
- Availability (product counts) is its own section, with its own tick on the role — Set product availability — and its own passcode slot on the mode. See Availability.
- There's no longer a single admin PIN on the device. Till admin used to be one code, set on each till by hand and the same for everyone. Everything above replaces it, and it's all managed from the portal now.
Kitchen orders
Till admin → Kitchen orders lists every order sent to the kitchen today (or over the last 7 days), each with a coloured dot:
| Dot | What it means | |---|---| | 🟢 Green | The kitchen has it — the kitchen screen opened it, the kitchen printer took it, or someone printed it at the till. | | 🟡 Yellow | On its way — being sent, waiting for its course, or on the kitchen screen but not started. | | 🔴 Red | It didn't get there — the printer failed or is stuck, no printer is set up, or nobody opened it on the kitchen screen. | | ⚪ Grey | We can't tell — quick counter sales don't report back, so check the kitchen. |
Tap an order to see the ticket exactly as the kitchen gets it: every item, with its options, notes and allergy warnings.
- Send again sends it back to the kitchen printer. It only appears when there's something to resend.
- Print here prints the ticket on this till's own printer, headed REPRINTED AT TILL, so someone can walk it over. The order then turns green on every till, with who printed it. If the kitchen may already have it, the till asks once more first — two copies is how the same dish gets made twice.
Note
A kitchen printer can't tell us the paper actually came out — only that it took the ticket. If a printer is out of paper it can still show green, so if the kitchen says they never got something, print it here.
The section only appears for venues with kitchen stations.
