Generic passcodes and staff PINs

The two kinds of PIN — a shared passcode for a whole shift, or a PIN that belongs to one person.

This is the choice that trips people up, so here's the short version:

  • A generic passcode — one shared PIN that many staff use. Good for locking a mode or an area (like the Keypad) behind a single code everyone on shift knows, or for requiring sign-off on a discount. You make it on the Passcodes page and assign it to a mode in the Modes editor.
  • A staff PIN — a PIN that belongs to one person. Use this when each member of staff signs in with their own code, so the till knows who did what. You set it on the person, under Staff → Staff, not on the Passcodes page.

If you just want to "give staff a passcode" so the till is locked when nobody's using it, a single generic passcode assigned to the mode is the simplest answer. Reach for staff PINs only when you want per-person sign-in.

Setting a staff PIN

  1. 1

    Open the person

Go to Staff → Staff and click them, or press Add staff for someone new.

  2. 2

    Type four digits

Or click Suggest one for a PIN nobody else is using.

  3. 3

    Save it

It is that person's sign-in PIN straight away. See A person's profile.

A staff PIN is exactly four digits. A longer one set before keeps working.

What the Passcodes page shows

The Passcodes page lists your generic passcodes. Staff PINs are not listed there, and the add form has no Type to choose. A line under the list says Staff PINs are set on each person in Staff.

A passcode that was created as Staff on the older screen and never given to anyone still shows, marked Staff. It is not doing anything. Delete it if you don't need it.

If your menu still shows Staff members and People

The one Staff list is being switched on account by account. Until yours is switched, a staff PIN is a passcode with its Type set to Staff:

  1. 1

    Create the passcode

On Store settings → Passcodes, add it with Type set to Staff.

  2. 2

    Go to the staff member

Open Staff → Staff members and pick the person.

  3. 3

    Assign the passcode to them

Pick it in the Passcode section and save. It's now that person's sign-in PIN. See Staff members.
