Passcodes
Create named shared PINs and assign them to modes as login and lock codes on your devices.
Passcodes are named, shared PINs for your devices. You create them once under Store settings → Passcodes, then assign one to a mode as its login and idle-lock PIN. They're how you keep a device locked when nobody is using it.
A PIN that belongs to one person is not made here. It is set on the person, under Staff → Staff. See Generic passcodes and staff PINs.
Create a passcode
- 1
Open Passcodes
From the sidebar, go to Store settings → Passcodes.
- 2
Fill in the Add a passcode form
Give it a Name (e.g. Manager PIN) and a PIN of 4 to 8 digits.
- 3
Click Add
The passcode appears in your list, ready to assign to a mode.
The fields
- Name — a label so you can tell your passcodes apart in lists, for example "Manager PIN".
- PIN — the digits staff type on the device. Between 4 and 8 digits.
Where staff PINs went
Under the list a line reads Staff PINs are set on each person in Staff. A person's PIN is not listed on this page. Open the person under Staff → Staff to set, change or look up their PIN.
A passcode created as Staff on the older screen and never given to anyone still shows here, marked Staff, so you can delete it.
What passcodes gate on devices
A passcode is assigned to a mode (and optionally to individual areas of a mode) from the Modes editor — see Lock a mode with passcodes. Once assigned, the device asks for that PIN to sign in and to unlock after it's been idle. That's how you keep the till locked when nobody's using it.
A Generic passcode can also protect a discount: turn on Require passcode at checkout on the discount and pick the passcode — see Discount types and passcodes. When you delete a passcode that protects discounts, the confirmation tells you how many — deleting it removes that protection and those discounts stop asking for a passcode.
If your menu still shows Staff members and People
The one Staff list is being switched on account by account. Until yours is switched, the add form also has a Type: Generic for a shared PIN, or Staff to make a PIN you then give to one person under Staff → Staff members. Every passcode of both types is listed, and the All · Generic · Staff chips above the list filter them.
