Cash drawer
Pick how your till counts cash — an end-of-day count or a running drawer ledger — and choose when the drawer pops open on a cash sale.
If you take cash, this page is where you choose how your till counts it — and then set up whichever way you picked.
Set it up under Store settings → Cash drawer.
Apart from the method itself (which applies straight away), your choices on this page save together: the Save button sits at the top of the page in the header bar, stays greyed out until you change something, and shows "Unsaved changes" beside it while you have pending edits. One click saves everything on the page.
How cash gets counted
Pick one. Your tills use one way of counting cash, never both at once, and only the one you pick shows its settings below.
- End of day count — at close, staff count every note and coin in the drawer without being shown what the system expects. They submit, confirm, and the till prints cash declared, cash collected and the variance. If they don't like the variance, they can recount. Picking this puts an End of day item in the till's Till admin menu; picking Cash drawer ledger or Neither takes it away again.
- Cash drawer ledger — staff open the drawer with a counted float at the start of a shift, every cash sale is recorded automatically, and closing the session shows counted vs expected. Tracking starts when a session is opened; it doesn't backfill earlier sales.
- Neither — no cash counting.
Changes reach your devices on the next heartbeat, usually within a minute.
Note
Counting is separate from the physical drawer popping open. A drawer connected to your receipt printer still opens on cash sales whichever method you pick — including Neither. That hardware switch lives in each device's own settings, and the kick timing below applies either way. With End of day count, the drawer also pops open when staff tap Start counting or Recount.
Print a report after a count
If you use the End of day count, you can have the till print one of your own reports — your Z report, say — by itself every time a till is cashed up.
- Design the report in Reports → Report Builder and publish it.
- Come back here. Under Print after a count, switch the report on.
- Save.
From then on, when staff finish a count and press Done, the report prints straight after. You can choose up to three.
- The small cash-up slip still prints first, when staff submit the count, and the report comes when they press Done. Want only your report? Switch off Also print the cash-up slip (it shows once a report is on) and save. The counted, collected and difference figures still show on the till's screen. With no report switched on, the slip always prints.
- The report covers today's trading for the till that was counted. If staff close all tills together, it covers every till.
- If a report can't be printed — for example it has been unpublished — the till prints a short note saying so. The count is still saved, and staff can print the report from Reports in Till admin.
- Your tills need the latest version of the till app for this.
After a cash refund
When staff refund a cash sale from the till's Records screen, this decides what happens to the items they refund. It shows whichever counting method you picked, including Neither, because a cash refund doesn't need a drawer ledger.
- Put them back in stock — the team wastes them (the default) — the refunded items go back on your stock count. If they can't be sold again, staff record them as wastage on the till in the usual way.
- Waste the items automatically — the refund records each refunded item as wastage itself, tagged with the reason staff gave. It shows in the Wastage report with a Refund marker. When an item comes back unused, staff can still switch on Nothing to waste — put back in stock for a single refund on the till, and those items go back in stock instead.
The drawer opens for the cash either way. This setting only decides the stock. See Refunds and voids for what staff do on the till.
End of day count
Note
This section is the SETUP. What your staff actually do at 11pm — counting blind, the denomination grid, the docket, recounting — is written for them in Doing the end-of-day cash count. Worth sending to whoever closes up. Once a count has printed, leaving the screen keeps it — only Recount starts again.
These three settings only show when End of day count is the method. Staff never see any of these numbers — that is the point: they count the drawer blind, and the till works out the variance afterwards.
- Float in each drawer — the float you keep in each cash drawer every day. Staff count everything in the drawer and this is subtracted. Leave it blank if you don't run a float: while it's blank the till prints FLOAT NOT SET and works out no variance at all, deliberately — a wrong float would make every variance wrong by exactly that amount, on a printed docket with somebody's name beside it. Setting it to £0 is different from leaving it blank: £0 means you genuinely run no float, and the variance is worked out normally.
- Number of cash drawers — how many cash drawers you run. Closing one till takes one float off. Close all tills counts every drawer together, so it takes the float off once for each drawer — 5 drawers at £100 is £500. Leave it at 1 if you only have one drawer.
- Flag a count over — a count that's out by more than this is flagged in your End of day report. Leave it blank and nothing will ever be flagged, which is the default on purpose: a limit of £0 flags every count that is a penny out, which is every count.
Drawer setup
Choose how sessions map onto physical drawers:
- One shared drawer — every device at the same site pays into the same session. One float, one count. Right when there's a single cash drawer behind the bar.
- A drawer per device — each till or terminal runs its own session with its own float and count.
Note
If you run more than one site, "one shared drawer" means one per site, not one for the whole business: each venue opens, counts and closes its own float, and a till only ever sees its own site's drawer. Single site? Nothing changes — one shared drawer is one drawer.
Heads up
You can't switch between these while a drawer session is open — the open session would be orphaned. Close the open drawer session on the till first, then change the setting. For the same reason you can't move a device to a different site while its own drawer — or the site's shared drawer — is still open; the refusal tells you which drawer to close. Other tills' open drawers don't stop a move.
Drawer kick timing
If a cash drawer is connected to your receipt printer, choose when it pops open during a cash sale:
- When cash payment starts — the drawer opens as soon as staff choose cash, so it's already open while they type the amount tendered.
- When payment is confirmed (the default) — the drawer opens once the payment is confirmed, together with the change figure on screen.
Opening float
- Default opening float — an amount the open-drawer prompt suggests as the starting float. Staff can always type a different amount; what they confirm is what the session records. Leave it blank for no suggestion.
- Carry over yesterday's float — suggests the previous session's closing count as the next opening float.
Note
Mis-typed the float or the closing count? The keypad on the open-drawer and close-drawer screens has a backspace key (right of the 0) that deletes just the last digit, so an extra zero no longer means retyping the whole amount. C still clears it completely. Same keypad as Pay by cash.
If the internet drops
Drawer actions keep working. Opening a session with a counted float, recording a cash in or cash out, popping the drawer for a no-sale, and closing with a count are all saved on the till first and sent to us as soon as the connection is back. Nothing waits on the Wi-Fi and nothing is lost if the till is restarted in the meantime.
While anything is still waiting to send, the drawer session screen shows a line like "2 drawer actions waiting to send". That is a normal state, not an error — the actions are safely stored.
Two things worth knowing:
- Don't re-enter a cash in or cash out that says it is waiting. It is already recorded and will send itself. Entering it again would count the same cash twice.
- Times are the real times. A float counted at 8am during an outage is recorded as 8am, not as the moment the connection came back, so your expected total and your end-of-day boundary stay correct.
If two tills open a session against the same physical drawer while offline, they are merged into one session when they reconnect — the earliest count is kept, so the same cash is never counted twice. If the two counts disagree, the session is flagged for review rather than quietly corrected.
End of day
Choose how a session ends when nobody closes it:
- Staff count the drawer (the default) — the session stays open until staff close it with a counted total.
- Close automatically — at the time you set, any still-open session is closed with the expected amount recorded as the count. Nobody counted the cash, so automatic closes are flagged "Auto-closed (uncounted)" in the Cash drawer report and show no over/short figure at all — you won't see real shortages or overages for those sessions.
Venues that trade past midnight. If your account has business day switched on, automatic closes happen at each location's business-day start (set on the location page), not at a time chosen here. A bar whose day starts at 03:00 isn't auto-closed at midnight halfway through service. The time field is hidden while that's on. See The location detail form.
