Cash drawer report — counted vs expected

Reconcile your till drawer — every session's float, expected and counted cash, over/short flags, and who recorded each movement.

The Cash drawer report shows every drawer session — the float it opened with, the cash it should have held, what was actually counted, and the difference — plus the full movement log behind each session. Open it from the Reports hub.

It only has data if you use the cash-drawer ledger on your tills: turn it on under Settings → Cash drawer, and sessions appear from the moment staff start opening the drawer with a counted float. See Cash drawer settings if the report is empty.

The sessions list

The list covers the last 7 days by default (switch to 30 or 90 at the top), newest first — the same period ids every other report uses, so a link to this page reproduces the exact window you were looking at. Each row shows:

  • When the session opened and closed, and whether the drawer is shared or belongs to one till (the till's name is shown — the same name it has on the Devices page).
  • Who opened and closed it — staff names appear when someone was signed in on the till; a dash means nobody was signed in.
  • Float (the counted opening amount), expected (float plus every recorded movement), counted (what staff actually counted at close), and the over/short difference. Positive means extra cash; negative means missing.

Reading the over/short figure

Small differences are normal — coins get miscounted. As a rule of thumb:

  • Under £2.50 either way: counting noise. Shown quietly.
  • £2.50–£25: flagged "Worth a word" — mention it to whoever closed.
  • Over £25: flagged "Investigate" — look at the session's movement log the same day.

Auto-closed sessions

If you use automatic end-of-day closing, a session nobody closed by hand is marked "Auto-closed (uncounted)". Nobody counted the drawer, so there is no counted figure and no over/short for that session — a dash is shown instead. Don't read an auto-closed session as "balanced"; it simply wasn't counted.

The movement log

Open any session to see every recorded movement: cash sales, change given, cash in / cash out (with the note staff entered), and "no sale" drawer opens. Each shows the time, the amount, and who recorded it. Where a movement came from a sale you can jump straight to that sale; cash taken as part of a split bill is labelled Split payment.

Staff drawer activity

Below the sessions, a small table totals each staff member's no-sale opens and cash in / cash out amounts for the period you're viewing. "No sale" opens the drawer without a sale — a high count for one person is worth understanding. Movements recorded while nobody was signed in are totalled on their own "No staff signed in" row.

Note

Staff names rely on till sign-in. Sessions and movements recorded before staff sign-in was in use (or while nobody was signed in) show a dash — the money figures are still complete.

Cash in / Cash out recorded without a drawer session

Staff can record cash going in or out of the till from Till admin → Cash drawer, even when the drawer ledger is switched off, or switched on with no session open. The money still gets recorded, with the reason entered alongside it.

Those movements appear in the Staff drawer activity table above and on the printed end-of-day report, under a Cash movements heading with the amount and the reason. They do not appear inside any drawer session, and they never change a session's expected total — they did not pass through a shift anybody counted, so counting them against one would make a balanced drawer look short. On the printed report they carry the line "Not part of a counted drawer" for the same reason.

Picking one site

If you run more than one site and pick one at the top of the portal, the report shows only that site's drawers and that site's cash in and cash out.

  • A drawer session belongs to the site where it was opened.
  • A cash in or cash out belongs to its drawer session's site. If it was recorded with no drawer session, it belongs to the site of the sale it was for (a cash refund, for example).
  • A cash in or cash out recorded with no drawer session and no sale shows under All sites only.
