AI Reporting

Ask questions about your sales in plain English and get back real numbers, tables and charts.

AI Reporting lets you ask questions about your sales in plain English and get back real numbers, tables and charts — without building a report. (It used to be the MCP page.)

Where to find it

From the sidebar, open Reports → AI Reporting. The page is the chat.

If other people have their own login to your account, AI Reporting opens only for those whose level includes Sales, covers and end of day, the same as your reports. See Giving someone else a login.

It's also in your pocket on every page. The assistant button in the bottom-right corner — a small one with a sparkle on it that says Ask — opens along the bottom of the page over whatever you were doing, with the box you type in at the bottom.

Inside is one conversation with nobody to pick: you ask about your sales in the same box you'd ask anything else in, whoever can help takes it, and a short line — Reports joined — tells you who answered. It is its own conversation, kept in the corner and waiting there when you open it again, with the same numbers and the same charts you get on this page.

To carry a conversation on full screen, use the button just above the box you type in, which says Continue in reports. If a reply lands while you're not looking, the corner button shows a small red +1 until you read it.

Ask a question

Type a question into the chat and send it. You'll get an answer built from your own sales data. Things you can ask:

  • How did sales go last month versus the month before?
  • What are my top 10 items in the last 30 days?
  • What sells best on Friday evenings?
  • Show my average day by hour for last week.

You can also narrow a question down, and combine the ways of narrowing it freely:

  • By menu section — "how many Starters have we sold each week this year?"
  • By time of day — "what did we take between 9am and 2pm?"
  • By day of the week — "what's our best seller on a Monday?"
  • By how the order was placed — "how much of our trade is QR ordering versus the counter?"
  • By week or by month instead of by day, which is what you want for a long stretch — "show me the weekly trend this year".

Those stack, so "Starters on Mondays between 9 and 2" is a single question, not four.

You can ask follow-up questions in the same chat — for example, after "What are my top 10 items in the last 30 days?", ask "and how does that compare to the month before?" and it will understand what "that" refers to.

Your recent chats are saved in a list on the side so you can reopen one later. Start a new chat any time, and delete old ones you don't need.

Answers use your UK trading day (midnight to midnight, UK time), so "yesterday" and "last month" match what your Sales page shows. If a period has no sales, it says so plainly — and it will tell you honestly when something isn't in the data (like card fees or bookings) instead of guessing.

Don't worry about getting a name exactly right — a typo, a shortened name, or asking about a whole menu section instead of one item will still be read sensibly. If it isn't sure, it'll say what it matched (for example, "reading 'Startes' as Starters") so you can correct it if it read your question wrong.

Note

The answers cover the same sales data your reports use. It reads your data only — asking a question never changes anything.

How many questions you get a day

You get 50 assistant questions a day, and the count resets at midnight.

That allowance is shared across all three assistants — this one, the help assistant in the corner, and the menu Assistant on the items side. They are one pot, not three. The count is per venue, not per person, so if your team shares one login you share the fifty between you.

When it runs out, the chat replies to say so and tells you it resets at midnight — the question is not lost, and nothing is broken.

Asking from your own Claude through a connector link does not come out of this allowance.

What it can and can't answer

Because it reads the same sales data your reports use, it can answer anything the reports can — and can't break sales down by anything the reports can't:

  • It can look back across your history, not just the last 30 days — ask about older periods and it'll use them.
  • It can narrow by menu section, time of day, day of the week and how the order was placed, and combine those in one question — see the examples above.
  • It can't show you a single receipt. It works in totals and rankings, so "what was my biggest transaction and what was on it?" isn't something it can reach; your Orders page has every individual sale.
  • It can't break sales down by staff member. Staff isn't a reporting dimension, so asking "show me sales by staff member" won't return a staff breakdown — there's no such data behind it. See the Reports FAQ.
  • It's read-only — it can never change, delete or move your data.

How it names your money

Every figure is called by what it really is, so you never mistake one number for another:

  • Sales — what was charged after discounts, without tips. This is the one sales total it gives you. VAT is still in it and refunds are not taken off, so it is not your net sales.
  • Discounts — the money taken off bills, given as its own figure. It has already come off your sales, so it is never added back on.
  • Sales excl. VAT — the same with VAT taken off. Refunds are still not taken off, so this is not net sales either.
  • Net sales — sales minus refunds minus VAT, without tips. A refund comes off the day of the sale it refunds, so a past day's Net sales can still go down when a refund for it is given later.
  • Profit after costs — Net sales minus what the products you sold cost, from their recipes. It always comes with how much of your sales has a cost ("costs known for 56% of sales"), because a product with no cost counts as costing nothing and makes profit read high.
  • Margin incl. VAT — what your recipes make, worked out on prices with VAT included. It lives on the Margin page (Inventory → Margin), always with the share of your sales that has a recipe cost.
  • Recipe cost (each) — what one of a product costs to make, from its recipe, at today's ingredient prices. It comes with the product's menu price (incl. VAT) and its Margin incl. VAT. A product with no recipe has no cost, and the assistant says so rather than guessing.

Net sales and Profit after costs are the numbers on your Daily sales report (Reports → Daily sales). The new assistant gives them to you in the chat, and so do Claude and ChatGPT connected to an account on the new assistant. Everywhere else — this page before the new assistant, and Claude or ChatGPT on an older account — if you ask for them it tells you to look on Daily sales rather than giving you a different number under that name.

Every answer names its dates

Each answer says the actual days it covers ("Wednesday 7 October 2026"). Your trading day can run past midnight, so if you ask about "today" at 00:45 and your day ends at 5am, you get Wednesday's figures, and the answer says why: on the clock it's already Thursday, but Wednesday's trading day is still going.

If you have more than one site, an answer about the whole business says so and lists your sites. Name a site ("just the pub") to see that one only.

What each product costs

Ask "what does a Guinness cost us to make?", "cost of each burger" or "which products make the least?" and you get, per product, the recipe cost of one, the menu price and the Margin incl. VAT over the period. It covers products you sold in that period (up to the last 90 days). It also points out costs worth checking:

  • No recipe: no cost can be worked out.
  • An ingredient with no cost: the cost reads too low.
  • A cost that looks like a pack price typed in as one unit.
  • A margin of 90% or more: usually a recipe missing its main ingredient (a burger recipe with no burger in it, for example).

Fix any of these in Inventory → Recipes.

"Profit" — it asks which you mean

On the new assistant, "profit", "margin" and "GP" could mean Profit after costs or Margin incl. VAT, and the two differ by at least the VAT. So if you just ask "what was our profit yesterday?" (or margins, or gross profit), it asks which you want to see: Profit after costs (VAT and refunds off — same as Daily sales) or Margin incl. VAT (same as the Margin pages). Tap one, or type your answer — "the margin one" works too — and it carries on.

  • Say which in the question ("profit after costs last week", "margin incl. VAT yesterday") and it answers straight away. Asking for net sales never needs a choice.
  • It asks once. If your next message doesn't pick one, it answers with one of the two and tells you which it used.
  • When costs are known for less than half of your sales, it won't give you a Profit after costs figure: it says the costs are too patchy for it to be right, gives you Net sales, and points you to adding recipe costs in Inventory → Recipes.

Pin an answer to your dashboard

When an answer is something you'll want to keep an eye on — say, your top 10 items over the last 30 days — you may see a Pin to dashboard button under it. Tap it and that answer becomes a live tile on your dashboard (the page you land on when you open the portal, under Pinned reports). The tile re-runs itself with fresh numbers each time you visit — it's not a snapshot.

A few things to know:

  • You can pin up to 6 reports. If you're at 6, pinning another will ask you to unpin one first.
  • Rename or unpin a tile by tapping its title on the dashboard to open the full report — rename with the pencil next to the name, or use Unpin from dashboard. Changes apply straight away.
  • Reorder tiles with the small up/down arrows on each tile.
  • Change what a pinned report shows with Edit in chat on the full report — it reopens the chat knowing which report you mean, so you can say "make it top 5" or "use last week instead", then pin the new version.

The pin button only appears when an answer can be saved as a report, and pinned reports are part of the same reports upgrade as the in-portal chat — if you don't see it, see the note below.

Prefer to ask from Claude or ChatGPT?

You can ask the same questions from your own Claude or ChatGPT instead. Connecting them lives in the Marketplace now, not on this page: when the chat is empty, the Prefer Claude or ChatGPT? card under the example questions takes you there. See Connect Claude to your data or Connect ChatGPT to your data. The card only shows for people whose level includes See integrations, because anyone else cannot open the Marketplace.

If the in-portal chat isn't available

The in-portal chat has to be switched on for your portal. If you see a notice that it isn't enabled, you can still connect Claude or ChatGPT from the Marketplace (see Connect Claude to your data or Connect ChatGPT to your data) to ask questions there, or contact support to turn the in-portal chat on. See Troubleshooting reports.

If your account is on the new assistant

A few venues are trying our new assistant. If yours is one of them, this page and the Ask button in the corner both open the same assistant, and it works a little differently:

  • It is one assistant, not three. Ask about sales, bookings, your menu or your set-up in the same box; there is nobody to pick.
  • Every figure it gives comes straight from your own records, the same numbers your reports show. It never types a number of its own.
  • It names every figure the same way as the list in How it names your money. It never calls a figure with VAT in it "net", and if a fallback table of results appears, its rows are labelled the same way.
  • When a word could mean two things (a drink that is also a mixer, say, or "profit"), it asks first and shows the choices as buttons. Tap one, or type your choice, to carry on.
  • It gives your true Net sales and Profit after costs — the same numbers as Reports → Daily sales — see How it names your money.
  • Under each answer you will see what it assumed and, when relevant, a note about what it could not check. A thumbs up or down helps us improve it.
  • It changes nothing on its own. Anything it suggests arrives as a proposal for you to approve.

Your daily allowance of assistant questions is shared with it, exactly as before. If you would rather go back to the previous AI Reporting page, ask support and we will switch it for you.
