Reports — frequently asked questions
Staff breakdowns, Sales vs Net vs VAT, floor-vs-location, refunds, exporting, timezone and more.
Quick answers to the questions that come up most about reports.
Can I break down or filter sales by staff member?
No. Staff is not a reporting dimension. Reports filter by terminal, location, floor plan — and, on Sales/Product performance, order source and category — there's no staff or employee filter anywhere in reports, and the sales log has no staff column. The closest you can get is filtering to a terminal a person tends to work on, but that's a device, not a person. The staff module manages who can do what on a terminal; it doesn't connect to sales reporting.
Can the AI Reporting chat show sales by staff member?
No. The chat reads the same sales data the reports use, so it can't break sales down by anything the reports can't — including staff. See AI Reporting.
What's the difference between Sales, Net and VAT?
- Sales — what your customers were charged, after discounts, including VAT. (Daily sales calls the same figure Gross takings.)
- VAT collected — the tax inside those sales.
- Sales excl. VAT — the figure with VAT stripped out.
- Net sales (on the Daily sales report) — what you took after refunds and VAT are both taken off. In Tillable "net" always means that.
Every sales figure is after discounts. Discounts are listed on their own, and there is no before-discounts total anywhere.
Full definitions are in Reports terminology.
Why does my Floor plan filter show a lower total than Location?
Because a floor plan only counts sales seated at a table on that floor — counter, QR and pay-at-table sales have no table, so they're excluded. Use Location for a figure that reconciles. Full audit steps are in Troubleshooting reports.
Are refunds shown in the Sales report?
No. Refunds aren't surfaced in the standard reports — the reporting data doesn't model them.
Can I export reports or share them?
Yes to both. Every report has a Share button (next to the "Reports" back link) that copies a link to the exact view you're looking at — filters, period and comparison mode included — so anyone who opens it sees the same thing. Most report tables also have their own Export CSV button (next to the table, or its toggle/sort row) that downloads exactly the rows on screen — handy for bringing figures into a spreadsheet or your accounting software. A few small summary blocks (KPI grids, charts) have no table to export; for those, take a screenshot or note the figures. The sales log also has its own Export.
What are the service modes?
Item sales can be split by how the order was taken: Counter (rung up at the till, no tab), Dine-in (opened on a table), Takeaway (click-and-collect with a pickup time), QR ordering (guest scanned a table code), and Other (a bar-tab-style order with no table, pickup or QR). See the Sales report guide.
Why don't my custom date ranges include today?
A Custom range runs to the end date you pick, by whole days. To include today's sales as they happen, use the 1 day preset on the Sales report (today, by the hour).
What do the "vs previous" figures compare against?
A like-for-like window, picked with the vs previous / vs last year switch next to the period tabs. vs previous: a single day compares to the same day last week (this Friday vs last Friday — never yesterday); longer periods compare to the matching block before them. vs last year: the same stretch a year ago. If the comparison window has no sales, the figure shows "no data to compare". Full definitions in Reports terminology.
What's the difference between the number of sales and the totals?
Number of sales (sometimes shown as the order count) is how many transactions happened; the money figures (Sales, Net sales) are how much they came to. Average Sale is Sales divided by that count.
Can I view several locations at once?
No — the Location filter scopes to one site at a time. There's no side-by-side all-locations breakdown. To compare sites, switch the location filter, or ask the data. See Filtering reports.
Can I see how much of a drink sold as pints against halves?
Yes. Tap the drink in Top Items and the drill-down opens with a By size breakdown. You don't need a terminal picked — with All terminals selected it answers for the whole venue, which is usually the question you're asking. Sales rung without a size (card machine, offers, anything from before the drink had sizes) collect in a No size row at the bottom.
The Products report deliberately keeps one row per drink; the split lives in the drill-down.
Why can't I tap an item after ticking two terminals?
The drill-down answers for one terminal or for all of them — there is no "these two" version. Rather than quietly widening a two-terminal filter to the whole venue (which would show you a bigger number than the row you tapped), the rows stop being tappable. Untick down to one terminal, or clear the filter back to All terminals.
Does drilling into an item keep my Location filter?
Yes. Tap an item in Top Items and the service-mode breakdown answers for the site you're filtered to, not the whole business. The drill-down carries its own Location dropdown so you can switch site without going back, and the "Sales report" link returns you to that site's report.
A few quick ones
- Gift card revenue — when a gift card is redeemed, it shows as its own Gift card line under Sales by Payment Types (alongside Card and Cash).
- Discounts — the Discounts figure is the total knocked off. It is shown on its own and is already taken out of every sales figure, so don't subtract it again.
- Timezone — all reports bucket sales in UK time (Europe/London).
- How far back — reports cover from a single day up to multiple years of your history.
