What each kind of data counts
Every number in the widget builder, kind by kind — Sales, Payments, Kitchen, Tables and tabs, Bookings, Guests and loyalty, Menu extras, Stock and costs, Staff, Gift cards, Cash drawer and Hotel — in plain words.
The widget builder groups its numbers into twelve kinds of data. This page lists every number in each, and what it counts. You can also hover any number in the builder's field list to read the same definition there. This is for venues whose sidebar shows Reporting — see Reporting — dashboards and widgets.
You only see the kinds of data your venue uses: no kitchen screens, no Kitchen. And you only see the numbers your access level allows: someone who can't see money figures won't see any £ numbers, and Staff hours also need access to staff.
Sales figures are after discounts unless they say otherwise, with tips left out. Days follow your trading day, so a sale after midnight at a late venue counts on the night before.
Sales
What you sold. Grouped by time, site, channel, staff, till, menu, size, day of the week, hour, time of day, and the area or floor of the table (as your floor plan is laid out today). With Reports Plus, also by category and product.
| Number | What it counts | |---|---| | Net sales | Sales after discounts, less refunds, less VAT. Refunds come off the day of the original sale. | | Gross sales | Sales after discounts, VAT in, before refunds. By category, product or staff, it is each item's value after its bill's discount. | | Sales | The same figure as Gross sales. Kept so widgets you already saved keep working. | | Sales excluding VAT | Gross sales with the VAT taken out. Refunds are not taken off (Net sales does that). | | VAT | VAT charged on sales, before refunds. | | Discounts | Money taken off bills by discounts. | | Transactions | How many sales (bills). | | Items sold | How many items were sold. | | Average basket | Gross sales divided by transactions: the average bill. | | Items per bill | Items sold divided by transactions. | | Covers | Guests on tabs, from each tab's guest count. | | Spend per cover (seated tabs) | What each seated guest spent: sales on tabs with a guest count, divided by those guests. Counter sales and tabs with no guest count are left out. | | Discount rate % | Discounts as a share of what bills came to before them. Includes loyalty rewards taken off the bill. | | Returns | Money given back on the period's sales, counted on the day of the sale. This is what Net sales takes off. | | Refunded share of sales | Returns as a share of sales, both on the day of the sale. | | Item sales | What each item sold for, after its share of the bill's discount, VAT in. Can be split by product, category and staff. The classic Product performance report calls this Revenue. Reports Plus. | | Products sold | How many different products sold at least once. Reports Plus. | | Discounts given | Discounts by the name they were rung under, loyalty rewards included. Anything a bill doesn't itemise reads Other (not itemised), so the total always equals Discounts. Group it by Discount to see each one. |
Payments
Money taken, how, and what reached your bank.
| Number | What it counts | |---|---| | Money taken | Card, cash and gift card together. Room charges are left out. | | Card takings | Money taken by card, every card type together, tips left out. A bill paid half by card and half in cash is in neither Card nor Cash. | | Cash takings | Money taken in cash, tips left out. | | Gift card takings | The part of sales paid with a gift card. | | Number of payments | How many payments were taken. | | Tips, Card tips, Cash tips | Tips added to bills. Held for your staff, never part of sales. | | Tipped orders | How many sales carried a tip. | | Tips as % of sales | Tips as a share of what was paid, tips included. | | Refunds | Money given back, on the day it was refunded (Returns, in Sales, counts it on the day of the sale instead). Group by Refund reason. | | Paid to your bank (bank date) | Payouts from Tillable Payments to your bank, on the date the money left (the bank date), not the day of the sales. Each payout counts once; one the bank sent back is left out. Counted for the whole business, whatever site you pick. Only venues paid out through Tillable Payments. |
Group payments by Payment type (card types sit in here) or Till.
Kitchen
How quickly food goes out. Needs kitchen screens. Group by Station.
| Number | What it counts | |---|---| | Station tickets | Tickets sent to your kitchen screens. An order going to two stations is two tickets. Cancelled tickets are left out. | | Average ticket time | Minutes from the ticket reaching the kitchen (or its course being called away) to first being marked ready, or bumped if it never was. | | Late tickets | Tickets slower than the station's late time (or the course's, if set) as it was when the ticket was made. | | Late % | Late tickets as a share of the tickets that were timed. | | Items per ticket | How many items an average ticket carried. |
Kitchen numbers start from the first ticket your kitchen screens recorded. A chart that reaches back further than that says No data before that day, rather than drawing zeros.
Tables and tabs
| Number | What it counts | |---|---| | Tabs opened | Every tab opened — at a table, named, takeaway or walk-up. Voided tabs left out. Group by Tab type. | | Average tab | What a closed tab came to, tips included. Every part of a split bill counts towards its tab. | | Table takings | What the bills of tabs at tables came to, tips included. Reports Plus. | | Table bills | Bills paid at tables (a split bill counts each part). Reports Plus. | | Table turns | How many times tables were sat. Reports Plus. | | Table covers | Guests seated at tables. Reports Plus. | | Average dwell | How long a table stayed sat, from tab opened to tab closed. Reports Plus. |
Bookings
Counted on the day of the visit unless it says otherwise. Needs Bookings. Group by Booking source or Party size.
| Number | What it counts | |---|---| | Bookings | Every booking except walk-ins and cancellations. No-shows count. | | Booked covers | Guests booked, from each booking's party size. | | Average party size | Booked covers divided by bookings. | | Walk-ins logged in Bookings | Walk-ins added in Bookings (the diary, host stand or waitlist), by party size. Walk-ins served on the till with no Bookings entry are not here. | | No-shows | Bookings marked as a no-show. A day counts once it is over, so today shows none yet. | | No-show rate | No-shows as a share of bookings due, on days that are over. | | Cancellations | Bookings cancelled, on the day the visit was booked for. | | Deposits taken | Booking deposits taken, on the day they were taken. Refunded deposits left out. Never part of sales. Venues that take deposits. | | Waitlist joins | Parties added to the waitlist, on the day they joined. Venues that use the waitlist. |
Guests and loyalty
Only known guests count here: guests who gave their details, so a sale was linked to their customer record. Guests who never did are not counted. The guest numbers need Loyalty; the member numbers need Customers.
| Number | What it counts | |---|---| | Known guests | How many different known guests visited. Each counts once. | | New known guests | Known guests visiting for the first time ever, at any of your sites. | | Repeat visits | Visits by known guests who had been before. | | Rewards claimed | Rewards claimed. One given back on a refund drops out. | | Marketing sign-ups (guests) | Guests who opted in to marketing by email, SMS or WhatsApp. One guest opting in to two on one day is one sign-up. | | Member spend, Member visits, Active members, Spend per visit | For tagged customers: what they spent, how many days they bought something, how many different ones came in, and spend per visit. Group by Customer tag. | | Points earned, Points redeemed | Loyalty points tagged customers earned and spent. |
Tier today groups past visits by each guest's tier today, not the tier they had then.
Menu extras
Needs Reports Plus.
| Number | What it counts | |---|---| | Modifiers chosen | How many times an option was chosen. Sizes are not options. | | Products with options | How many different products had at least one option chosen. | | Option extras | What the options added. Already inside the product's sales: never add the two. | | Offer revenue | What your offers, set menus and deals came to. | | Units sold | How many offers sold. | | Offers sold | How many different offers sold at least once. |
Stock and costs
Profit numbers only cover costed items: items with a recipe, a cost on every ingredient, and no cost that looks like a pack price. Check Costed share of sales to see how much of your sales that is. Needs Inventory.
| Number | What it counts | |---|---| | Cost of sales (costed items) | What the costed items sold cost in ingredients, at the cost when they were sold. Before 7 October 2026 today's cost is used, so earlier figures are estimates. | | Costed item sales | Sales excluding VAT of the costed items. | | Gross profit (costed items) | Costed item sales minus their cost of sales. | | Margin % (costed items) | Gross profit as a share of costed item sales. | | Costed share of sales | How much of your item sales come from costed items. | | Stock used (£) | The cost of stock that was sold, wasted or adjusted, on the day it happened. Deliveries and stock counts are not stock used. Group by Ingredient. | | Deliveries spend | What your logged deliveries and purchases cost, on their order date. Deliveries aren't recorded per site, so picking a site leaves them out. Group by Delivery supplier. | | Stock value now | What your stock is worth right now, at each ingredient's latest cost. A "right now" figure: shown alone, as a Big number or Table. | | Items wasted, Wastage value | Items your team recorded as wasted, and what they would have sold for. Group by Wastage reason, Wasted item or Staff. Venues that record wastage. |
Staff
From the time clock, on the day each shift was clocked in. Needs Timesheets, and an access level that sees both money figures and staff. Group by Staff.
| Number | What it counts | |---|---| | Hours worked (breaks included) | Time from clock-in to clock-out. Shifts still clocked in aren't counted yet; a shift over 16 hours (usually a missed clock-out) is left out until it is corrected in Timesheets. | | Shifts worked | Shifts clocked in and out. |
Gift cards
Needs Gift cards.
| Number | What it counts | |---|---| | Gift cards sold, Gift card value sold | Cards sold at the till or online, on the day they were sold. Cards sold at the till are already inside Net sales: never add the two. | | Gift cards given free | Cards issued by hand in the portal. | | Gift card balance to spend | What customers can still spend right now, the same as Outstanding liability on the Gift cards page. A "right now" figure. |
Cash drawer
| Number | What it counts | |---|---| | Cash over or short | Cash counted at end of day minus what the till expected, per site per day. Below zero is short. | | Cash-ups done | End-of-day cash counts accepted. | | Paid in | Cash put into the till outside a sale (Cash in on the till). | | Paid out | Cash taken out outside a sale (Cash out), including cash refunds. |
Hotel
Needs room charges.
| Number | What it counts | |---|---| | Room charges, Room charge bills, Average room charge | The part of bills put on a guest's room, how many bills, and the average. | | Free breakfasts given, Free breakfast value | Bills made free with the Free breakfast button, and what they would have cost. |
Not available for your venue
Two kinds of data only exist for venues set up for them:
- Paid to your bank — venues paid out through Tillable Payments, now or in the past. Anywhere else it says Your venue is not paid out through Tillable Payments.
- Cash drawer — venues whose cash-up is set to the drawer or end of day, or that did a cash-up or used the cash drawer in the last year. Anywhere else it says Your venue does not use cash-ups or the cash drawer.
If your venue isn't set up for one, you still see it, marked Not available for your venue, rather than a chart of £0 that looks like nothing happened:
- In the builder, those numbers are greyed out with Not available for your venue and the reason on a second line, and can't be added.
- On New widget, the Cash drawer card says Not available for your venue. The Payments card stays open: only Paid to your bank is off.
- A widget built only on them shows a Not available for your venue card.
- A widget that mixes one in draws the rest as normal. Its legend reads Paid to your bank (bank date) — not available for your venue, with nothing drawn for it, and in a table or a big number its figure reads Not available.
- Their starter widgets stay listed, greyed out, as for example Cash over or short · Not available for your venue.
