Report layouts — design your own till reports
Assemble your own till reports from ready data blocks, publish them, and they appear on every till instantly — no app update.
Report layouts lets you design your own till reports — arrange headings, free text and ready-made blocks of real figures, brand and name it, then publish. A published report appears in every till's Reports screen straight away — no app update, no waiting.
Where to find it
In the sidebar, open Reports → Report settings, then pick Report layouts
under On the till. It appears once Till is switched on for your account.
(It used to be a tile on the Reports hub; the address, /reports/builder, has
not changed.)
The new Report layouts page
Some venues have the new editors switched on (we switch it on for you). If yours does, Report layouts looks different but does the same job, and nothing changes on your tills: your reports, drafts and published versions are exactly as they were.
The list page
- Two groups: Built in (the two standard reports, each with a Default badge and Customise) and Your reports.
- + New report opens a pop-up: start from Sales report, Product sales or Z report, or start Blank, and give it a name. Z report is a ready-made end-of-day till report — see below. Starting from a built-in here makes a separate new report (suggested names "My sales report" and "My product sales"); it sits beside the standard one on the till. To replace a standard report, use Customise on its row instead.
- Search your reports and Export the list as a spreadsheet file.
- Tick several reports and Archive them together.
- Drag the handle on a row to change the order your reports appear in on the till. While you are searching, the handles are switched off: clear the search first.
The editor
- Left: every ready block has its own entry, grouped Sales, Payments, Products, Staff and Layout, with a search box. Tap one to add it at the end, or drag it onto the paper where you want it. A tick shows what is already in the report.
- Middle: the paper, with your real figures and the report's name above it. The chips above it switch between Today, Yesterday, This week and This month, or Custom…: pick a start and an end date and time (the venue's own time, up to 31 days) and the paper shows exactly that window — the same window the till prints when staff choose Custom on its Reports screen. Once published, the report also appears on Reports → Till printing, where you can pick a venue and a till and print it. Point at a block and it is outlined, with a small label saying what it is (Heading, Tender breakdown, Spacing…); the block you tapped keeps a darker outline. The footer shows a Locked label: it is always last.
- While figures load: headings, text, divider lines and spacing appear straight away. A data table shows its title and a grey bar until its figures arrive. If they can't be read it says Figures unavailable (the title still prints as shown) and Try again appears above the paper.
- A quiet period: if the period you picked has nothing in it, a note above the paper says so (for example "No figures for today") and offers the nearest period that does have figures, in one click. Changing the period only changes what you are looking at; it never changes the report.
- A block you add is scrolled into view and outlined for a moment, so you can see where it landed on a long report.
- Right: the list of what is in the report; tap a block for its settings. Move up, Move down and Delete are at the top of a block's settings. If a line is as wide as the paper (48 characters), Alignment can't move it and the settings say so. Blank lines takes 1 to 20.
- Top bar: click the name to rename the report. Undo and Redo step back and forward through your changes. Preview on paper shows the whole report as it prints, for all four periods at once; if you add or remove a block while previewing, the lines that changed are outlined for a moment on each print. Your draft saves by itself; the bar tells you when there are unpublished changes.
- Publish is the main button. Revert to published and Unpublish sit next to it and each still asks you to confirm.
Note
Prefer the old screens? Both new pages have a Classic link that opens the page you are used to. Nothing is lost by switching back and forth.
The rest of this article describes the classic screens; the blocks, drafts, publishing and the fixed footer work the same way in both.
The two built-in reports are editable defaults
Open Report layouts and the first two rows are always Sales report and Product sales — the two reports every till already prints. Each shows a grey Default badge and a single Customise button; you can't rename, duplicate or archive a Default row, because there's nothing there yet to act on — it's a placeholder for the report every till is already printing.
Press Customise and it opens a normal, editable report — pre-filled with the same figures the built-in shows, so you're adjusting something recognisable rather than starting from a blank canvas. From here it works exactly like any report you build from scratch: add or remove blocks, rename it, and Publish when you're happy.
Once published, it takes the Default row's place in the list — tagged Replaces default Sales report (or Product sales) so you can always tell your version apart from the standard one, even after renaming it. From that moment, every till shows your version instead of the built-in — one row, never both.
Note
Changing your mind is always safe. Unpublish (in the report itself) or Archive (from the list) both bring the standard report straight back on every till — your customisation is never the only copy of that report; the original keeps working underneath it the whole time.
The ready data blocks
A report is built from five block kinds:
- Heading — a bold title line.
- Text — a line of free text: a note, instructions, a label.
- Data table — a ready-made block of real figures. Pick what it shows:
- Sales summary — gross sales, discounts, gratuity, takings.
- Tender breakdown — cash, each card scheme and gift card, with totals.
- Orders & refunds — order count, average sale, refunds.
- Trading hours — time of the first and last transaction in range.
- Product table — every item sold, ranked by revenue, with a running total (capped at 100 lines on paper, same as the built-in Product sales report — a note points back to the portal for the rest).
- Staff sales — per staff member: orders, takings, cash and card, with an all-staff total.
- Cash drawer — cash, card and total taken, an expected-in-drawer line (float + cash + money in − money out) while a drawer session is open, and each session's float, counted and variance.
- VAT breakdown — gross, net and VAT per tax rate.
- Departments — sales by category, with quantities and a total.
- Wet & dry sales — wet sales against dry, by value and units.
- Open checks — every tab still open: table, value, who opened it and when. Deliberately not limited to the report's period — an open check is open regardless of when it started.
- Drawer activity — no-sales, cash in and out, float and change movements.
- Trading period — the first and last sale, who opened the till (the first sale's staff member) and who closed it (whoever accepted the end-of-day cash count; with no count yet, whoever rang the last sale).
- Till cash declaration — the end-of-day cash count from the till: each note and coin counted, the total, less the float, the cash declaration (what goes to the bank) and the variance, with a line when it is over your tolerance. A recount shows the recount, never the count it replaced. If no float is set, it says Float not set and works out no declaration or variance.
- End of day sign-off — a short declaration, "The value of £… has been deposited", a signature line, and the name and time of whoever closed.
- Department totals — sales by your TOP-level categories only (for example Wet, Dry, Retail, Accommodation), with a total. Put your menu categories under those few top categories and this block shows just those totals.
- Sales balance — Total sales before discounts, Discounts & offers (how many and how much), then the Sales balance: total sales less the discounts, which matches your Department totals and Tender total. Tips are shown on their own line: a tip is not a sale.
- Tenders with total — Cash, Card (all card types together), Gift card and Room charge as taken, the tips split out, and a Tender total that matches the Sales balance.
- Divider line and Spacing — plain layout, no figures.
Note
A report can mix table blocks from Sales summary / Tender breakdown / Orders & refunds / Trading hours freely; a Product table costs a second lookup behind the scenes, and Staff sales / Cash drawer / VAT breakdown / Departments / Wet & dry sales / Open checks / Drawer activity share a third, and Trading period / Till cash declaration / End of day sign-off a fourth — every lookup uses the exact same date range, so the figures always tie out.
The Z report
Pick Z report in + New report for a till report laid out like a classic end-of-day sheet: Trading period (with the venue and till at the top), Department totals (titled Department sales), Sales balance, Tenders with total, Till cash declaration and End of day sign-off. Move, rename or remove anything, then Publish — it appears in the till's Reports list straight away.
The cash figures come from the till's End of day cash count, so print the Z report after staff have counted and accepted the cash. Choose the till in the till's Reports screen to get that till's own count; a count of all tills shows on every till's Z report. The float and the variance tolerance are the ones set for End of day in the portal.
Build one
The canvas is the paper — what you see is what prints, built from your real, current figures, never sample data. There's no separate preview to switch to.
- 1
New report
Name it. It starts as a draft — invisible to every till until you publish it.
- 2
Add blocks
Use the buttons under the canvas to add a block — it lands at the bottom as its own slice of paper. Fill it in on the right, and pick a period along the top of the canvas to see it against today, yesterday, this week or this month.
- 3
Arrange it
Drag the handle on the left of any block to reorder it — you're rearranging the actual paper, not a summary of it. The final slice, with a lock icon, is the footer described below: it's always last and can't be dragged or deleted.
- 4
Publish
Makes the report live on every till instantly. Before you confirm, the dialog names (as they appear on the Devices page) any till it can already tell is running an older app build — that check is best-effort, not a guarantee; a till that turns out not to support it yet shows its own actionable message rather than printing something wrong.
Draft vs published
Every edit autosaves to your draft as you work — nothing reaches a till until you press Publish. That keeps a half-finished report off the shop floor while you're still arranging it.
- Publish copies your draft to the live version.
- Unpublish takes it off every till (the next time each one opens Reports); your published version is kept, so it isn't lost.
- Revert to published restores the version before your last publish — a bad publish undoes in one click.
An empty draft can't be published — add at least one block first.
What always prints, and can't be edited out
Every published report ends with a short, fixed footer: a note if any sales were excluded for being in another currency, a line pointing back to the portal for fully reconciled totals, and the range and time it was generated. It's the last slice on the canvas, marked with a lock icon — you can see exactly what it says, but you can't drag it, delete it, or move anything below it. This keeps every report you design usable for till-side reference without losing the portal as the source of truth for reconciliation.
The honest limit
A report built here supports headings, text, tables, rules and spacing — it can't carry your logo or a QR code. That's the trade that makes publishing instant with no app update. If you want a logo or QR on what a customer receives, that's Receipt layouts — a different tool, for a different piece of paper.
What's next
- Till printing — the two built-in reports (Sales report, Product sales); this page covers customising either one from Report layouts, printing itself is covered there
