Filtering reports
Narrow any report by terminal, floor, site, order source or category — and know which total reconciles.
Every report can be narrowed so you're looking at just part of your business — one terminal, one floor, or one site. The filters sit at the top of each report and update the figures as soon as you change them.
Where the filters are
Open any report (Sales, Tips, Wastage, Insights, Cross-category pairings, Product performance or End of Day — Modifiers, Offers and Table performance have a period, a compare mode and a location filter, but no terminal or floor filter, since those reports don't break down by terminal). The filter controls appear above the figures. Which ones show depends on how your account is set up — a filter only appears when you have something to filter by.
"Today" at a venue that trades past midnight
If a location's business day starts after midnight (set on the location page), the period presets count from that time. At 1:30am on a Sunday, a venue whose day starts at 03:00 is still trading Saturday, so 1 day shows Saturday night so far, not an empty Sunday. With a location selected, the presets follow that location's business day; with All locations, they follow your main location's.
The same goes for the rest of the portal's "today" figures: the dashboard tiles (Tips, Payment types, End of Day, Top products, Categories), the Reports front page, Daily sales, saved custom reports, and the Inventory Usage and Margin pages all stay on last night until your business day starts. On a single-day view, the hourly charts in Sales and Tips begin at your day-start hour, so the after-midnight hours sit at the end of the night rather than at the start.
Sharing a filtered view
Every filter you set — period (including the From and To dates when you pick Custom), terminal, location, floor plan, order source, category, and whether you're comparing to the previous period or the same time last year — lives in the page's web address. A Share button next to the "Reports" back-link copies that address in one tap (a small confirmation pops up to say it's copied) — no need to select the address bar yourself. Send the copied link to someone else, or bookmark it: opening it reproduces the exact same view, filters and all. If the link names a terminal, site, floor plan or category that no longer exists — it was deleted, or you're viewing as a different account — that filter is silently dropped and the report falls back to showing everything, rather than showing an error.
Active filters and clearing them
Whenever a filter narrows a report away from its default ("all terminals, no comparison to last year"), a small pill appears below the filter controls naming it — e.g. Bar till, or vs last year. Tap a pill's × to drop just that one filter, or Clear all to reset every filter in one tap (your date range is left alone — clearing filters isn't the same as resetting which period you're looking at).
The filters
Terminals, Location and Floor plan appear together on Sales, Product performance, End of day, Insights and Pairings. Modifiers, Offers and Table performance carry Location on its own — those three can be split by site but not by terminal or floor plan. Order source and Category appear on two reports only — Sales and Product performance — because those are the two whose figures can actually be broken down that way (see "Order source" and "Category" below). There is no staff or employee filter anywhere in reports — reports can't be broken down by staff member (see the Reports FAQ).
Terminals
The Terminals picker lets you tick any combination of your paired terminals. Leave everything unticked and the report shows All terminals — your whole business added up. Tick one terminal to see only its sales, or tick several to see those together. This picker only appears once you have more than one terminal.
If you've saved any report groups, they show here too as one-tap presets. Tapping a group ticks its terminals; tapping it again clears back to All terminals.
Location
The Location filter scopes the report to one of your sites. It appears when you have more than one location. A location covers every kind of sale taken at that site — counter, QR ordering, pay-at-table and table service — so it reconciles with your real takings.
It filters to one site at a time. There's no side-by-side view of all locations at once; to compare sites, switch the filter from one to another (or ask the data — see AI Reporting).
Floor plan
The Floor plan filter scopes the report to orders placed on tables on that floor. It appears when you have at least one floor plan set up. Because a floor only sees orders that were seated at a table, it covers table-service sales only.
Note
Sections vs floor plans. Sections organise tables for your till and staff; a floor plan is the reporting view of those same tables. You report on a floor plan, not on a section — sections aren't a reporting dimension.
Order source
On Sales and Product performance only, the Source filter narrows the report to one channel: Counter (rung up at the till, no tab), QR (guest scanned a table code), Takeaway (click-and-collect with a pickup time), Dine-in (opened on a table from the floor plan), or Other (bar-tab style, no table/pickup/QR). These are the same five buckets used throughout reports when an item is split by service mode — see Reports terminology — so a Source filter can never disagree with a service-mode breakdown shown elsewhere. It always appears on those two reports, even if you've only ever taken counter sales.
Category
Also on Sales and Product performance only, the Category filter narrows the report to one of your top-level categories (Hot Drinks, Mains, and so on). Picking a top-level category automatically includes all of its subcategories — there's no separate subcategory picker. It appears once you have at least one category set up under Items → Categories. A Bundle (Offer) has no category of its own and never matches a Category filter.
Note
Category filter vs Sales by category. The Category filter narrows the Sales/Product performance figures you're already looking at. To see every category at once, use the Sales by category table on Product performance (top category → subcategory → product). Pick a Category filter there and the table narrows to that one category along with everything else on the page.
The number you can trust for cashing up
This is the most important thing to understand about filters:
- A location is a real site total. Filter to a location and the figure reconciles — it covers every sale taken there, so it matches your banking and your end-of-day.
- A floor plan is a view, not a site total. It only counts sales that were seated at a table on that floor. Counter sales, QR orders and pay-at-table sales have no table, so they are not included.
Pay-at-table means paying for a tab at the table — a server brings a card machine, or the guest pays from their phone — without that sale being tied to a specific table on a floor plan. Because the floor plan only counts sales seated at one of its tables, these don't appear on it.
Heads up
Use Location when you need a figure that adds up to your real takings. A floor plan filter will read lower than your true total because counter and QR sales aren't seated at a table — it's for understanding a dining area, not for reconciling. If your floor total doesn't match, that's expected — see Troubleshooting reports.
Combining filters
The filters work together. For example, pick a location and a terminal to see just that terminal at that site, or a Source and a Category together to see just your QR drinks sales. The report's subheading shows the current selection so the figure on screen and the filter never disagree.
Note
On the Sales report, combining Category with any other filter narrows to the individual line items in that category — figures that are normally order-level (Discounts, Gift card, Tips) show as £0.00 under a Category filter, since those aren't attributable to one category's lines. Clear the Category filter to see them again.
