Reports overview
Start here — what your sales reports cover and where each guide sits.
Reports turn your sales into numbers you can act on — how much you took, what sold, when you were busy, and how today compares with last week. They read straight from your sales, so there's nothing to set up.
Where to find it
From the sidebar, open Reports. The hub opens on an at-a-glance strip of headline figures for the last 7 days — gross takings (after discounts), number of sales, average sale and VAT — above your reports, grouped into Sales & takings, Products & menu and Venue & service. Pick one to open it.
The last 7 days means today so far plus the six days before it, midnight to midnight UK time, and the change under each figure compares them with the seven days before that. Because today is still trading, that change can read a little low early in the day. Your reports appear straight away; the strip's figures fill in a moment later.
The things that decide what gets reported, rather than reports themselves, sit one row down in the sidebar under Reports → Report settings: Automatic reports (what we email you, and to whom), and, if you have the till, Report layouts and Till printing. They used to be tiles on the hub; their addresses have not changed, so old links and bookmarks still work.
If you have given someone their own login, what they see here depends on their access level. Somebody on Manager gets the strip without the VAT figure, and Invoices — the monthly statement — does not open for them at all. Every other report is theirs. You, your admins and anyone on Accountant see everything.
If your sidebar says Reporting
If your venue has the new Reporting, the sidebar shows Reporting, with Dashboards and Widgets under it, where it used to say Reports. Every report below is still there, under Today's reports on the Dashboards page. See Reporting — dashboards and widgets.
The reports
Note
Product performance, Modifiers, Offers, Table performance and Relive the Day are part of Reports Plus — they appear when Reports Plus is enabled for your account. Your baseline reports (Sales, End of Day, Cash drawer, Insights, Cross-category pairings) are always available.
- Sales — your headline figures for a period (today, a week, a month, and so on): sales after discounts, VAT, the count of sales, your average sale, and a sales chart against your chosen comparison — the matching previous period (a single day compares to the same day last week) or the same stretch last year, switched next to the period tabs. It also breaks sales down by payment type and lists your top items. Tap a top item — with one terminal picked or with all of them — to drill into how it sold by size (pints against halves) and by service mode. See the Sales report guide.
- Transactions — every sale attempt, one row each: approved, declined and cancelled, the 200 most recent, with search and export. See the sales log.
- Daily sales — one trading day (midnight to midnight, UK time) as the daily sales summary email shows it: gross takings, payments, VAT, top sellers, busiest hours, sales by category. It opens on today, so you can see how trading is going right now (the figures keep changing until the day is over); use Previous day or the date box to look back at any other day. It works whether or not you get the email, and for days that were never emailed. The address includes the day, so you can bookmark or share it.
- Daily product summary — the same, for the product summary: every product sold that day, by menu and category, in one table. It opens on yesterday, the last full day. Not shown on donations accounts. Its headline is Sales (incl. VAT): what customers were charged, after discounts, VAT included and tips left out, so it matches Gross takings on Daily sales for the same day. Refunded orders are still counted in full, so it is not Net sales. Each bill's discount is shared across the products on that bill, and a line under the headline shows the day's discounts on their own. If some money was taken on a bill with no products on it (a payment on account, say), the table ends with a Not linked to a product line so it still adds up. Where your products have recipes it also shows Margin incl. VAT, and the table gains a Margin incl. VAT column: those sales minus each product's recipe cost today. A product with no recipe counts as £0 cost, so this margin reads high; a cost that looks like a pack price is not left out; and an option set to count as another product shows as that product, with its own recipe cost. For profit with VAT and refunds taken off, use Profit after costs on Daily sales, which also says how much of your sales has a cost. The (i) beside each figure says the same in one line.
- Product performance — what's driving your revenue. Sales by category breaks your sales down by category, then subcategory, then product, in one table: tap a category to open it where it sits, or use Expand all and Collapse all. Each row shows its revenue and its share of the total, and the biggest category opens first. It is built from the same sales as the headline figures, so pick a terminal, location, floor plan, source or category and the breakdown narrows with them. Below it, your top earners and top sellers side by side, and a "menu map" that sorts your products into four groups by how often they sell against their price — Stars, Workhorses, Premium and Slow movers — with what to do about each. (This used to be a separate Categories & wine report; old links to it open here.)
- Modifiers — which options your customers pick: the most-chosen modifiers overall, and per product the split (which milk on your flat whites, which cook on your steaks).
- Offers — how your offers, set menus and deals sell: units sold, revenue and average sale for each offer.
- Table performance — a heatmap painted onto your floor plan showing which tables earn the most, switchable between revenue, covers and turns, with a ranked list of tables alongside.
- Relive the Day — replay a trading day on your floor plan: press play and watch tables fill and clear, takings climb and your bestsellers move through the day, with a recap of the day's headline stats (covers, peak hour, busiest table, top seller). If you have more than one location, pick the site beside the trading-day box first — a replay is one venue's floor plan, so leaving it on All locations draws every venue's tables together on one plan.
- Tips — card and cash tips for a period, tipped-order counts, and tips as a share of sales, with a card-vs-cash chart per day (or hour, on 1-day). Fills the gap where cash tips previously had no reported home.
- Loyalty by tag — for the customers you've tagged (say Student or Pool Society): how many visited, their visits, spend, spend per visit and points earned and spent, per tag and per member, plus which days of the week they come in. A visit is a day they bought something (a night past midnight counts once), and only sales where their card was scanned or they were picked at the till count. Shows when Customers and Loyalty are both on. See Loyalty by tag.
- Wastage — what your team recorded as wasted on the till (a spilled pint, a mis-made cocktail): items and retail value per day, broken down by reason, staff member and item, with the raw event list underneath. Shows when Wastage is enabled for your account; manage the reason chips under Store settings → Wastage reasons. Items a cash refund wasted automatically carry a Refund marker in the event list, and the chips above the list show All wastage, only the ones From refunds, or Other wastage. The chips filter the list only; the totals always include everything. Its "Ingredient wastage" link now opens Inventory → Margin, where write-offs are costed against your ingredient prices (the old Stock analytics page).
- Voids — every item voided on the till, and every bill cleared: when, which bill, the item, its value, the reason, who and which till, and whether it had reached the kitchen. Totals by reason and by staff member, filters for staff, reason, till and whole bills, and a CSV export. Shows when voids with reasons are switched on for your venue; manage the reasons under Store settings → Void reasons.
- Automatic reports — have your sales summaries emailed to you on a schedule instead of opening the portal. Choose them under Reports → Report settings → Automatic reports. Daily reports (open at the top) holds the daily sales summary and daily product summary; Weekly reports (tap to open) holds the weekly pair. Each has a switch, and See latest to open the most recent one in the portal: for a daily report that is its own Daily sales or Daily product summary page. The sales summary covers gross takings, payment breakdown, VAT and sales by category; the product summary covers what sold, totalled per menu, then per category within each menu, then per product — each product sits under the menu it was tapped from on the till, so you can see which menu staff used (sales rung on an older till app go under the menu the sale was paid on, or else the first menu the product is on in your portal); typed-in amounts appear under Other sales at the end. In the portal the product summary is one table: tap a menu or category to open it, or use Expand all and Collapse all. Daily reports arrive each morning for the previous trading day; weekly reports arrive on Monday for the week just gone. The account owner chooses who receives them, from the people on the People list — if nobody is picked they go to the owner's email. Past reports (top right of that page) keeps every report we've emailed, split into Daily and Weekly — tap any day or week to open that report in the portal (figures are refreshed live, so they can differ slightly from the emailed copy if sales were refunded or items recategorised since).
- Terminal history — your card-terminal takings from before your till launched, day by day. Your Tillable payments (formerly yetipay) account held that trading history; this brings it into Reports so your records are complete. Each row is a terminal day (05:00–05:00 UTC) with takings, tips, refunds and transaction count — plus the site it was taken at, if you trade from more than one. On the hub for donations accounts only; everyone else opens it from the link in their emailed sales summary. Needs Terminal history enabled for your account and the key for your Tillable payments (formerly yetipay) account set. See the Terminal history guide.
- Card machine reconciliation — for venues taking card payments on the card machine itself rather than through the till: what the till recorded as card sales for a day, beside what the card machine actually took, and any payments we couldn't pair up. Not a tile on the hub: open it from the link on the Unintegrated mode settings page. Needs unintegrated mode enabled for your account. See Take card payments on the card machine.
- Insights — the deeper view for any date range you choose: every item sold (sortable), items that get bought together, your average day by hour, and the bestseller for each weekday and time of day. See the Insights guide.
- Cross-category pairings — pick two of your categories (for example drinks and food) and see which items from each are bought together most. See the Pairings guide.
- End of Day — daily and weekly totals, plus a custom date range, for cashing up and a quick look back. Each row expands to a Card / Cash / Tips breakdown (tips are shown separately, excluded from the sales total, and carry no VAT), plus a Refunds line on days you gave money back. A refunded sale still counts in full on the day it was taken. If your tills use the blind cash count, the same row also shows cash declared / collected / variance and flags a day whose venue total went over the tolerance you set — one till short by what another is over is a note in the wrong box, not missing money, so it isn't flagged. When more than one drawer is counted on a day, each drawer gets its own named row under a day total. See the End of Day guide.
- Cash drawer — every drawer session's float, expected and counted cash, over/short differences, and the movement log behind them (cash sales, change given, cash in / cash out and no-sale opens). Drawer sessions only appear if you use the cash-drawer ledger on your tills, but cash in / cash out recorded from Admin shows up either way — including with the ledger switched off. See the Cash drawer report guide.
- Till printing (under Report settings) — exactly what prints from your till's own Reports screen: the Sales report and Product sales report, and every report you designed and published (your Z report too), for any venue, till and period, with a Print button. Shows when Till is enabled for your account. See the Till printing guide.
- Report layouts (under Report settings) — design your own till reports from ready data blocks (headings, text, and tables of real figures), then publish — a published report appears on every till instantly, no app update. The two built-in reports (Sales report, Product sales) can be customised from here too, and always fall back to the standard version if you unpublish or archive your customisation. Shows when Till is enabled for your account. If the new editors are switched on for your venue, this page has a search box, an Export button and a + New report pop-up with ready-made starting points; a Classic link opens the page as it was. See the Report layouts guide.
How sales get broken down
Reports break your sales down by payment type (card, cash, gift card), service mode (counter, dine-in, takeaway, QR, other — when you drill into an item), and item. Sales figures do not break down by staff member — staff isn't a sales-reporting dimension (the Cash drawer report does show per-staff drawer activity such as no-sale opens, but not sales totals). See the Reports FAQ.
To narrow any report to part of your business, use the Terminals, Location and Floor plan filters at the top — Sales and Product performance also add Source (order channel) and Category. See Filtering reports.
If you trade from more than one site, Modifiers, Offers and Table performance now carry a Location filter too, so you can read each venue's figures on its own instead of one merged total. Those three take Location only — not Terminals or Floor plan.
Site by site
The site picked under the Tillable logo now carries through End of Day in full: the cash counts and venue summaries follow it as well as the takings. On All sites, each day's cash counts are listed site by site, under each site's name. A manager who can only see some sites only ever sees those sites, on the monthly statement and the card reconciliation too.
The Cash drawer report follows the picked site too: its drawer sessions, and the cash in and cash out recorded in them or against that site's sales. A cash in or cash out recorded with no drawer session and no sale belongs to no site, so it shows under All sites only.
Sharing and exporting
Every report has a Share button next to the "Reports" back link — it copies a link to the exact view you're on (filters, period and comparison mode included) so anyone who opens it sees the same thing. Most report tables also have their own Export CSV button that downloads exactly the rows on screen. See Can I export reports or share them?.
Reading the headline numbers
On the Sales report:
- Sales is what your customers were charged, after discounts, VAT still in.
- VAT collected is the tax inside your sales, and Sales excl. VAT is the figure with that tax stripped out.
- Number of sales is how many transactions; Average Sale is Sales divided by that count.
- Discounts is the total knocked off by discounts, shown on its own.
Every sales figure, on every report, is after discounts. There is no before-discounts total.
On the Daily sales report, Net sales is what you took after refunds and VAT are taken off, and Profit after costs is Net sales minus the cost price of the products sold. A line under them says what share of your sales has a cost price set.
At the bottom of Daily sales, Discounts and wastage lists both as plain amounts. Discounts are already taken off Gross takings, and wastage was never a sale, so neither is taken off anything on the page.
On the Daily product summary, Sales (incl. VAT) and Margin incl. VAT still have VAT and refunded orders in, and a product with no recipe counts as £0 cost. Use them to compare products; use Profit after costs for what the day made.
Note
Money figures are shown in pounds and pence. The chart compares the period you picked with the same length of time before it, so you can see whether you're up or down. Full definitions are in Reports terminology.
Choosing the period
Every report has a date control, and every one that offers period presets uses the same set: 1 day (Sales and Tips only), 1 week, 1 month, 3 months, 1 year, plus a Custom option where you pick your own start and end dates. End of Day keeps its own daily / weekly / custom paradigm. The current filter and period always live in the page's web address, so a link or a bookmark reproduces the exact same view — see Filtering reports.
Venues that trade past midnight. If a location's business day starts after midnight (set on the location page), End of Day, the Sales report and the daily sales email count that location's days from that time, not from midnight. A 1:30am sale then sits on the night before, and "today" at 1:30am still means that night. Tips, stock and a few specialist reports still use midnight for now. See The location detail form.
Reconciling and troubleshooting
If a figure looks off — a floor total that doesn't match, a report reading zero, a missing filter — start with Troubleshooting reports. The short version: Location reconciles; a floor plan is a partial view.
