Lock a mode with passcodes

Assign passcodes to a mode — a PIN to enter the mode, and locks on individual areas.

A mode's passcode controls live in the mode editor, not on the device. They sit in a Passcodes section with two layers — a passcode to enter the mode, and locks on individual areas. Both pull from passcodes you've already created on the Passcodes page, so make the passcode first.

  1. 1

    Create the passcode first

In Store settings → Passcodes, add the PIN you want to use (give it a name like "Manager PIN"). See Passcodes. It has to exist before you can pick it here.

  2. 2

    Open the mode editor

In Store settings → Modes, open any mode — built-in or one you've made. Scroll to its Passcodes section.

  3. 3

Require a passcode to switch into the mode (optional)

Use the Require a passcode to switch into this mode dropdown. It starts on Not required; pick one of your passcodes to make staff enter it before the device changes into this mode.

  4. 4

    Lock specific areas (optional)

Under Lock specific areas, each lockable area (Keypad, Menu, Floor plan, Order Centre, Discounts, Refunds) has its own dropdown. Each starts on Not locked; pick a passcode to protect just that area.

These selections save as you make them. Once set, the device asks for the PIN at the point you've locked — entering the mode, or opening a locked area.

Staff sign-in (where staff login is available)

If staff login is enabled on your account, the editor also shows a Require staff to sign in toggle. Turn it on and this mode does two things:

  • devices running it show a passcode lock screen, and
  • once someone signs in there, their role's permissions and the sections they're allowed to see start applying — but only on this mode.

Below the toggle, tick which staff members can unlock this mode. Staff are managed in Staff members; their per-person PINs are Staff-type passcodes assigned there. If you don't see this toggle, staff login isn't enabled on your account.

This lock is separate from letting staff sign in and out on your OTHER devices to track who made a sale — that's a single account-wide switch, under Staff → Settings. Turning this mode's lock on doesn't turn that on for you; if it's off, the editor shows a note here reminding you to switch it on too.

The rest of the Staff section

Underneath the sign-in toggle sit the switches that only mean anything once staff are signing in on this mode. Each has its own article:

  • Separate basket per staff member — each signed-in person keeps their own in-progress order, so two people can serve at one till without losing a round.
  • Basket follows the staff member — that round then follows them to any other till they sign in at. Needs separate baskets on first, and stays greyed out until it is. See Basket follows the staff member.
  • Manager override — see Manager override.
  • Sign out when the till is left alone — see Sign staff out automatically.

A switch you don't see isn't enabled on your account.
