Availability — say how many of something you have left
Set a count on a product ("10 sirloins"), watch it go down as it sells, and let the till grey it out when it's gone.
Some things run out. The kitchen has ten sirloins tonight, the bar has six bottles of a guest wine. Availability lets you tell the till how many you have, and the till counts them down for you as they're ordered.
This is switched on for your account by Tillable. If you don't see Availability in Till admin, ask us.
Set a count
- 1
Open Availability
Till admin → Availability, then Set availability. The normal menu opens with a banner across the top.
- 2
Tap the product
Tap the sirloin (or whatever it is). A number pad opens.
- 3
Type how many and tap Set
Type 10, tap Set. The count is saved straight away and the tile now says 10 left. You stay on the menu, so tap the next product and do the same — as many as you like.
- 4
Tap Exit when you're done
Tap Exit on the banner. You're taken back to Availability, with every product you set on the list. Each count was already saved when you tapped Set, so leaving never loses one.
A product with no count is always available, exactly as before.
Misc Food and Misc Drink can't have a count. They are priced by hand each time, so tapping one always opens its own pop-up, even while you are setting availability.
What staff see on the till
- The product's tile says 10 left, and the number goes down every time one is ordered — sent to the kitchen or added to the bill, not when it's paid for.
- At zero the tile greys out and says Sold out. Tapping it won't add it.
- If a line is voided before it's paid, that one goes back on the count.
The Availability list
Every product with a count is listed, sold-out ones first. Each has a bar that empties as it sells and a label like 7/10 — 7 left out of the 10 you made available.
- Top up — tap the row, type how many more you've got, tap Add. Set 10, sell 4, add 5 and the label reads 11/15.
- Start again — tap the row, type the new number, tap Set.
- Stop counting — tap the (x) on the row, or Remove availability in the number pad. The product goes back to always available.
If the till is offline
Setting, adding or removing a count needs a connection. If the till is offline it says so and nothing is changed — try again when it's back.
Selling still works. A till that's offline can't see sales made on the other tills, so if a product shows Sold out it asks first: "Sirloin shows sold out — this till is offline", with Sell anyway if you know you still have one. When it's online, the till checks the latest count before it refuses.
Extras that are also a product
Some things are sold both on their own and as an extra — peppercorn sauce as a side, and as an extra on the steak. If the extra's option is set to counts as product → Peppercorn sauce (in Items → Modifiers), the extra follows the product everywhere:
- It uses up the count. A steak with peppercorn sauce takes one sauce off, the same as selling the sauce on its own. Two steaks with sauce take two.
- It sells out with it. When the sauce reaches zero, the extra greys out and says Sold out in the pop-up, on the corner keys and in deals — on the till, the card machine, and the QR and collection pages.
- It keeps the product's hours and switches. If the sauce is only on between 12:00 and 21:00, or switched off for QR, the extra disappears at the same times and places.
Stock in Inventory is separate and unchanged: the extra still takes off whatever its own recipe says.
Who can use it
Availability is a section of Till admin, so it follows the same rules as the rest: tick Set product availability on a staff role, or attach a passcode to it on the mode. See Who can see what in Till admin.
Good to know
- The count is per site. Each of your locations has its own.
- A deal counts each product inside it — a steak-night deal takes one sirloin.
- Extras added as options (like "add cheese") aren't counted — unless the option counts as a product (see below).
- Raising a line's quantity from the basket — in the item pop-up, or on the review page a basket tap opens for items in the new modifier flows — is checked against what's left, just like tapping the tile again.
- Guests ordering by QR or collection see N remaining, and can't order more than you have left.
