Taking payment on the till
The pay step on the terminal — the buttons that appear, and how each one works.
This is the checkout — how staff take money on the terminal once an order is built. It's the final step of every sale, whether it's a quick counter sale or a table tab.
Which buttons show at the pay step depends on the device's mode capabilities (see Modes). A button only appears when its capability is on — for example Pay with Cash needs the Cash payments capability. If a button you expect is missing, that's where to look; see also Till troubleshooting.
The pay step
With an order built (a counter order, or an open tab), the pay step offers, depending on the mode:
- Pay with Card — take the whole amount on the card reader.
- Pay with Cash — take cash and give change (Cash payments capability).
- Split order — split the bill across several payments (Split the bill capability).
- Pay part of the bill — take some now and leave the rest on the tab (Part payment capability, and a tab with at least two lines — with only one line there is nothing to leave behind, so the button isn't shown).
- Discount — apply a discount before paying (Discounts capability). See Discounts.
- Print bill — print the bill for the table without taking payment yet. If an offer discounted anything on the bill, the printed docket shows those lines at their full menu price with a single Deal savings deduction underneath the item count — so a guest querying "why is that £9.60 when the board says £12?" can see the deal on the paper. Amount Due is unchanged: the money was always the same, the docket just now explains it.
- Add loyalty — attach a customer to the bill (Loyalty add-on). Once someone is attached the button reads Customer instead, because by then it is where you go to see who is on the bill, spend their points or take them off it — not to add anyone.
- Assign to table — move a walk-up bar tab onto a table. The floor plan updates as soon as you confirm the covers, connection or no connection. See Table-service sale walkthrough.
When your role doesn't allow something
If a staff member needs to do something their role doesn't allow — a discount, say — and your mode has Manager override turned on, a manager can unlock it right here. They tap the shield icon (a person inside a shield) at the top of the payment screen and enter their own passcode. The staff member stays signed in, the sale is still recorded against them, and the extra permissions switch off by themselves once this bill is paid.
Every button is always reachable
On a tablet held landscape, these smaller buttons sit in a grid under the two big Pay buttons — two across when there are six or fewer, three across when there are more. On most tablets the whole set is on screen at once.
And the panel scrolls, so nothing is ever out of reach: how tall it needs to be depends on which capabilities your mode has on and what your role can do, and on a smaller tablet that can be more than the screen holds. If the last row sits below the edge, swipe up inside the panel.
This changed in September 2026. Before it, the buttons ran straight down the panel in a single tall stack, and the last ones — most often Add loyalty — fell below the bottom edge with no way to reach them at all, so loyalty could not be added to a bill. Moving to a grid helped and the scrolling is what finished it.
If the venue sells drinks in sizes, each line names its size, so the order you're charging for reads Madrí (½ pint) rather than just the drink. See Drink sizes. Each line also shows the options picked (like Oat milk · Extra shot) and any item note under the name, and a note the guest left on the whole order sits in a yellow Order note banner at the top of the bill.
The Customer panel: who they are, and their rewards
Tap Customer (or Add loyalty, then scan their card) and the panel shows just what staff need:
- Their first name and surname initial, the last four digits of their phone, and their points — Darren S. · Phone ending 2849 · 250 pts. In this panel, and when you search for a customer to add, staff never see an email address, full surname or full phone number, and past orders and lifetime spend aren't shown at all. That's what data-protection rules expect: enough to know you have the right person, nothing more. (The full details are still in Customers in the portal.)
- The scan buttons, in case it's the wrong person — scan their card again.
- Rewards they can use, each with an Add to bill button. One reward per bill: if one is already on, the others say Swap to this. Anything they can use on this bill is always listed first; rewards they can't have yet come underneath, greyed out, with the reason and how far they have to go. If nothing can be used yet you'll see the nearest thing they're saving towards — for example, 100 more points to get £5 off.
- On this bill — the reward that's on, with Remove reward.
- Remove [name] from this tab at the bottom, next to Done. It asks first, and it takes their reward off the bill with them.
Searching for someone. Type two or more letters or numbers — a name, the last digits of their phone, or their email. Members come first with their points, and every row says Phone ending 2849 · Member or Not a member. If someone is listed because their email matched (which staff can't see), the row says Matched on email, so you know why they're there. Tap the ✕ in the box to start again.
The panel is bigger than before and fits any screen — on a small device the buttons sit under each reward instead of beside it.
Spending points, and your rewards
Points are spent from the Customer panel above — there is no separate Spend points button on the bill any more. Tap Customer, or tap the customer's name and points on the bill itself, and everything they can use is in that one panel.
The customer's name on the bill tells you what they can have off. Under their name you'll see their points and what can come off this bill at your money-off rate — for example 650 points · £5 off available. If they can't use it yet it says why: 500 points · 100 more for £5 off, or 650 points · £5 off on bills of £5+ when the bill is smaller than one go. If you haven't set a money-off rate, it just shows their points.
Your rewards. Everything you set up on the Rewards tab shows there with what it costs in points and what it takes off — Free coffee · 500 points · £3.00 off — and Add to bill puts it on.
Rewards the customer can't have yet are still listed, greyed out, with the reason underneath: Needs 180 more points, Already had this one, Not on their tier. That's deliberate — when someone asks "what can I get?", a short list of what they can't quite reach yet is a more useful answer than an empty screen.
Money off with points, also in that list, is the plain points-for-money swap at the rate you set under Loyalty → Setup. Use the − and + buttons to pick how much, then Add to bill. When it can't be used on this bill it stays in the list, greyed out, and says why — Needs 600 points (100 more), or For bills of £5 or more — so staff can tell the customer rather than wonder where it went.
One reward per bill — money off with points counts as one. If something is already on, the others say Swap to this.
A reward is worth what you said it's worth on the Rewards tab, not what its points happen to convert to at your normal rate. Those are two different numbers on purpose.
The customer's points follow the bill, not the till. If a customer was added on another till or on the card machine — or the tablet was restarted — open the bill and their name and points are there; you no longer need to tap Customer first to wake them up.
A member's perk comes off by itself
If your scheme gives a level a perk — 10% off draught for Gold, a free dessert on a birthday, a free drink the day somebody joins — it needs no tap. The moment the member is on the tab, the perk appears as its own line on the bill, in the words the level was set up with, and it comes off before any staff discount or points you apply on top. You cannot remove it from the bill; if the till cannot apply it (it's offline, or the tender you picked has nowhere to record it), it says so and asks before taking the payment without it.
Note
Needs the September 2026 till update, and the venue's perks switch, which we turn on for you. On an older till a member still earns and spends points but sees no perk come off — update the till, don't change a setting. One perk comes off a bill; if a member qualifies for several, the biggest is the one applied.
Note
A reward that hands over a product — a free coffee as an actual line on the bill rather than money off — shows as Can't be used at the till yet. It's listed rather than hidden so you can see the till knows about it; taking a product off a bill is a separate piece of work.
A loyalty reward on the bill
If the customer is spending points, the reward shows on the bill itself. Under the subtotal you get a line naming it — Points · £5 off −£5.00 — and the figure the customer actually pays is on the To pay line under it. Nothing is taken off their points balance yet: that only happens when the sale goes through. Back out of the payment and the reward stays on the bill, ready to try again.
To take the reward off, tap Customer (or the Points line itself) and then Remove reward. To take the customer off the bill entirely, use Remove [name] from this tab at the bottom of the same panel — their reward comes off with them. You can't remove a customer once part of the bill has been paid; the till says so rather than quietly leaving the points spent against a sale that has already gone.
See Loyalty for how points are earned and what a reward is worth.
The till never holds payment back
No tender waits — cash, card on the terminal, or a payment taken on a separate card machine. If the last round on the table hasn't finished sending, the till sends that round along with the payment, so the bill you are looking at is the bill that gets charged.
There used to be one exception, paying by card through the terminal, which could show "Can't take payment yet — this table's last order is still sending". That is gone: the till now passes the unsent round to the terminal with the payment request, so the terminal charges the full bill and the round lands with it.
Nothing is ever lost, and you should never void the table and re-ring the order — that's how a round ends up on the bill twice. If the till is plainly offline, payment carries on as normal. See Till troubleshooting.
Cash drawer prompt
If your venue runs the cash drawer feature (Settings → Cash drawer) and no drawer session is open yet, tapping Pay with Cash first offers to open one — count your float, enter it, and every cash sale from then on is tracked for end-of-shift reconciliation. In a hurry? Tap Not now and the sale goes through as normal; you can open the drawer session later from Settings. The prompt never blocks a sale, and if a physical cash drawer is connected it pops automatically when you confirm the cash amount — or right when you tap Pay with Cash, if your drawer's kick timing is set to "on start". After you confirm, if the customer is owed change, a pop-up shows Order closed and the Change due in large figures. It stays on screen until you tap Confirm, so you can count the change back without remembering the figure. An exact cash payment skips it.
Where the sale goes
A completed sale appears in your portal under Transactions (titled Tables Served for table-service venues) within a few seconds — no need to refresh the device. See The sales log.
Receipts
After a sale, the customer can get a receipt — printed, emailed as a link, or as a digital page they print or save themselves. See Receipts and reprints and Resend a receipt.
