Shifts
Build a reusable library of shift templates — hours, break, access and colour.
A shift is a reusable template — a named block of time with a start, an end, a break and a colour. You build your shifts once, then place them onto days on the Schedule and attach staff. A shift template carries no date of its own.
Note
Shifts are a prerequisite for the rota. You build templates here first; the Schedule only lets you place templates that already exist — it doesn't create them inline. Build at least one shift before you go to schedule anyone.
Staff must be switched on for your account for this to appear. If you don't see it, ask your account manager.
Where to find it
From the sidebar, open Shifts under the Staff section.
Build a shift
- 1
Name it
Give the shift a name you'll recognise on the rota, like "Opening" or "Evening".
- 2
Set the hours
Enter a start and end time.
- 3
Set the break
Enter the unpaid break in minutes (leave it at 0 for none).
- 4
Pick an access role (optional)
Choose a role to show against the shift on the rota. Leave it as "No role" if you don't need one.
- 5
Choose a colour
The colour is the chip the shift shows as on the schedule, so you can read the rota at a glance.
- 6
Add shift
The template is saved to your library, ready to schedule.
Shifts that run past midnight
Note
If the end time is the same as or earlier than the start time, the shift is treated as running past midnight into the next day — for example a 22:00 to 02:00 closing shift. On the rota it carries a "+1" marker.
If you run more than one venue
Each shift can belong to a venue. Set Site when you build it, or leave it on Any site to keep it available everywhere — handy for a shift like "Opening" that means the same thing at both places.
The list gains a Site column and a venue filter so you can see one place's shifts at a time. Anything left on Any site stays in the list whichever venue you filter to, because it can genuinely be used at either.
Note
Setting a venue on a shift records where the work happens. It does not limit who can be put on it — anyone on your team can still be scheduled anywhere, which is what makes covering another venue possible.
If you only have one venue, none of this appears.
Editing
Open a shift from the list to change its name, hours, break, role or colour. Templates you've built appear when you place shifts on the schedule.
