Track stock on a product

Start counting a finished item — sales draw the count down; recipes drive stock for dishes.

If Inventory is switched on for your account, a Stock tracking section appears on the product page. Turning tracking on for a product means each sale draws its count down automatically, and you receive, waste or adjust the count under Inventory.

Note

Inventory must be switched on for your account for this section to appear.

Simple tracking — count the finished product

Best for bought-in items you don't keep a recipe for — a bottled beer, a packaged cake.

  1. 1

    Open the product

Under Items → Products, click the product you want to track.

  2. 2

Turn on Track stock for this item

In the Stock tracking section, click Track stock for this item. The product now has a count you can set and adjust.

  3. 3

Set the on-hand count and par

Enter how many you currently hold. Setting a par level lets the item show as Below par when the count drops to or below your minimum. See Stock levels.

Each sale of the product then decrements the count by one.

Turning it on for many products at once

Opening one product at a time is fine for a handful. For a long drinks list, do the lot in one go:

  1. 1

    Select the products

Under Items → Products, tick the products you want to count. The search box above the list narrows it first if that's easier.

  2. 2

    Bulk edit → Track stock

Click Edit in the bar that appears, then choose Track stock.

  3. 3

    Confirm

Click Track stock. Anything already tracked — or already driven by a recipe — is left exactly as it is, and you're told how many were skipped.

Note

This starts the counting; it doesn't set any numbers. Enter what you actually hold under Stock levels.

Best for packaged things sold one-for-one — bottles, cans, snacks. Spirits and draught want a recipe instead, so a 25ml measure isn't counted as a whole bottle.

Turning it off again

If you started tracking something and want to stop — you decided to move it to a recipe instead, or it just isn't worth counting — do it from the same selection bar:

  1. 1

    Select the products

Under Items → Products, tick the products you want to stop counting.

  2. 2

Bulk edit → Stop tracking stock

Click Edit, then choose Stop tracking stock.

  3. 3

    Confirm

Click Stop tracking stock. Anything built from a real recipe, or not tracked at all, is left exactly as it is, and you're told how many were skipped.

Note

This only stops the product counting down on sale. The ingredient it was tracking, and whatever count it currently holds, stays under Stock levels — nothing is deleted. Turn tracking back on later and it picks up the same ingredient again.

Recipe-driven tracking — count the ingredients

If the product has a recipe, its stock is driven by the ingredients it uses. You don't track the finished dish; you track its ingredients, and selling the dish draws down those. This is the right choice for anything you make in-house from raw materials.

To set that up:

  1. 1

    Create the ingredients

Add each raw material under Ingredients with a unit of measure.

  2. 2

    Build the recipe

Open the dish under Recipes and list the ingredients with quantities. That link is what enables tracking — there's no extra button on the product.

See Stock levels for how the count then behaves.

Two are enough

You either use simple tracking on the product or give it a recipe — not both. Simple tracking is right when you buy in the finished item; recipe-driven is right when you make it from ingredients.
