Product price and VAT
The base price is gross (VAT included). Pick a VAT rate; Tillable derives the breakdown.
Two fields on the product editor decide what the customer pays and what tax you charge: Base price (£) and VAT rate. Both live in the same section.
The base price is gross
You enter the gross price on a product — VAT included. You never enter a net price or the VAT amount yourself. Tillable derives the VAT breakdown from the rate you choose, so the customer sees one price and the receipt shows the VAT broken out.
If you type £3.00 with a Standard 20% rate, the customer pays £3.00 and the receipt shows £2.50 net + £0.50 VAT — you didn't add anything on top.
If the product uses drink sizes
When a product is in a category with drink sizes (pint/half, wine measures), each size carries its own price and the standard size's price becomes the base price. The Base price field then shows that price read-only — change it in the product's Sizes card or on the set's price screen. VAT works exactly as below either way.
The Sizes card takes prices only; which sizes apply comes from the product's category, and the card names it.
If the price changes every time
Some things you ring up have a name but no fixed price — machine takings going into the till, a day-rate, a deposit. Switch on Price is set at the till (just under the Base price box) and the product has no price at all:
- On the till, staff tap the product, a keypad opens with its name on it, and they type the amount. £0.00 isn't allowed, and anything over £100 asks Are you sure? first. Tapping it again adds a second line — two different amounts never merge into one.
- It sells on the till only. Click-and-collect, QR ordering and the online shop switch off and lock, because a customer ordering for themselves would get it for nothing. Show on till is still yours to turn off.
- It can't be part of an offer: the offer builder doesn't list it, and "all drinks £3" can never rewrite an amount a member of staff typed. If the product is already in an offer, take it out of the offer first.
- It can't be in a category that uses drink sizes.
- The VAT rate you pick below still applies to whatever amount is typed, and sales appear under the product's own name in every report.
Tills need the app version that includes this feature before the product shows on them. Until a till updates it simply doesn't list the product — staff can use the keypad amount in the meantime. Card machines don't list these products yet.
Switching it off again gives you an ordinary product: type a base price, and turn the ordering channels back on yourself if you want them.
Picking a VAT rate
On the product editor, the VAT section lets you pick one of your rates or choose No VAT for zero-rated items. If your account has a default rate, new products pick it up automatically — you only change it when this particular item is taxed differently.
- Manage the list of rates under Items → VAT — see VAT rates.
- Not sure which rate applies? See Which VAT rate applies (UK hospitality).
Note
"No VAT" is not the same as the VAT-registered toggle in company details. Choosing No VAT on a product is how you zero-rate that item. The account-level VAT registered toggle (under Account) only controls what shows on receipts — turning it off does not stop VAT being calculated from each item's rate. See Company details.
Your online shop can have its own price
The base price is what every channel charges unless the product has an Online shop price. Set one — in the Online shop section, which appears when Show in shop is on — and the shop charges that instead. The till, QR ordering and click-and-collect carry on using the base price.
Leaving the box blank means "use the base price". It does not mean free; typing
0 is what makes an item free in the shop.
If the product has a VAT rate you can also say whether the number you typed includes or excludes VAT. That is a typing convenience only — we convert once, store the VAT-inclusive figure, and always show your customers the inclusive price. The line under the box tells you what they will pay before you save.
One rate per item, across every channel
A product's VAT rate is global — the same rate applies on the till, on QR ordering and on click-and-collect. There is no per-channel rate. If you genuinely need different rates by channel (eat-in vs takeaway), the way to do it today is separate products, one per rate, each available on the right channel. See Where a product sells.
A per-menu price override only changes that menu
The base price is what applies everywhere by default. A menu can carry its own price for a product, which only applies on that menu — every other menu still uses the base price. See Per-menu price override.
If the product has a recipe, a margin line under each menu's price shows what that price makes once VAT is taken off, updating as you type. See See the margin at a menu price.
