Set up CRM for your account

What the CRM add-on is, how to tell if it's switched on, and what changes when it is.

CRM turns your read-only customer list into a full address book — add and edit people, import a spreadsheet, tag and segment them, store your own custom fields, and sync everything out to HubSpot or Salesforce. It's an add-on, so it's not switched on for every account by default.

Is CRM already switched on?

Look at the CRM section in your sidebar:

  • Customers is always there, even without the add-on — but on its own it's a read-only list (you can look, search and open, but not edit).
  • CRM Sync, Custom fields and Match review only appear once the add-on is enabled.

Note

Loyalty is a separate add-on from CRM. Having one doesn't give you the other. With both on, loyalty members are marked in the customer list and on their profile; with CRM on and Loyalty off, everything CRM does works exactly as described here and no loyalty badge appears anywhere. See Loyalty.

So the quick test is: if you can see CRM Sync, Custom fields and Match review in the sidebar, the add-on is on. If you only see Customers, it isn't yet.

Note

If you don't see a CRM section — or you see only Customers — your account doesn't have the CRM add-on yet. It can't be switched on from settings yourself: contact your account manager to enable it.

What turning it on changes

Without the add-on, Customers is a read-only list that fills itself from bookings, QR orders and click-and-collect. With the add-on on, the same list becomes editable and gains:

  • Add a customer and Import — create records by hand or bulk-load a CSV.
  • Search, segment, sort and tag — server-side, with no row cap.
  • Tick boxes on the list, to add or remove a tag on many customers at once.
  • A clickable detail page for each person, with an Edit form.
  • Custom fields — your own extra fields on every customer.
  • CRM Sync — push contacts to HubSpot or Salesforce.
  • Match review — decide who a contact from your CRM is, on the ones we can't confidently match for you.

See Customers — your CRM list for the full tour.

Who can do what

  • Account owners (merchants) can do everything: edit customers, manage custom fields, and connect HubSpot/Salesforce.
  • Staff with portal access see the customer list and detail pages but don't manage integrations.

Do I need to set anything up?

No initial setup is needed to start using Customers and Custom fields once the flag is on. Your existing customers are already there — they're created automatically whenever someone books a table, places a QR order, or collects an order, deduplicated on name, email and phone.

Tip

If you plan to add custom fields (allergies, loyalty tier, birthday…), create them before you import a customer list — that way the fields exist and are ready to fill in. See Custom fields.
