Import customers from CSV

Bulk-load contacts from a spreadsheet — map your columns, preview, and import without ever creating duplicates.

If you already have a customer list in a spreadsheet, import it in one go. Existing customers are matched and left as they are; people who aren't already on file are added. The import never creates duplicates.

CRM must be switched on for your account — see Set up CRM for your account.

Before you start

  • Save your spreadsheet as a CSV with a header row (the first row names the columns).
  • You need a column that holds the customer's name — it's the only required column. Email and phone are optional but recommended.
  • The file can hold up to 5,000 rows. Split a bigger list and import in batches.

The four steps

  1. 1

    Upload

On Customers, click Import, then Choose a CSV file and pick your file. The wizard reads the header row and shows how many rows it found.

  2. 2

    Map your columns

For each column in your file, choose what it is: Name (required), Email, Phone, or — Ignore —. The wizard tries to match automatically — it recognises headers like Name, Customer, Full Name, Contact for name; Email / E-mail for email; Phone / Mobile / Tel for phone. Fix any it guessed wrong. You must map one column to Name to continue.

  3. 3

    Preview

Once a Name column is set, you see a preview of the first 8 rows as they'll import — Name, Email, Phone. Check it looks right.

  4. 4

    Import

Click Import … rows. You get a summary: how many were added, how many matched existing, and how many were skipped.

How matching works

Each row is matched against your existing customers on the combination of name + email + phone:

  • A match — the same person is already on file, so nothing is changed (it's counted as "matched existing", not duplicated).
  • No match — they're added as a new customer.

Because matching uses all three together, two people who share an email or phone but have different names are kept separate, and re-running the same file is safe — it won't create copies.

Note

A plain CSV import only carries name, email and phone. It doesn't overwrite notes, tags or custom fields on a customer who's already on file — a match is left untouched. To add those, open the customer and Edit.

Rows that get skipped

A row with no name is skipped (every customer needs a name). If your import skipped rows, the most common cause is that no column was mapped to Name, or some rows have an empty name cell. See CRM troubleshooting.
