Connect and sync to Salesforce

Push your customers into Salesforce as Contacts via a sign-in — with the contact fields your admin sets up first.

CRM Sync pushes your Tillable customers into Salesforce as Contacts. Salesforce needs a little setup by whoever administers your Salesforce account before you can connect — Tillable can't add these for you.

CRM must be switched on for your account. If you don't see CRM Sync in the sidebar, see Set up CRM for your account.

Step 1 — Your Salesforce admin adds four Contact fields

In Setup → Object Manager → Contact → Fields & Relationships, your admin creates these four custom fields. The names must match exactly:

  • Yeti_Customer_Id__c — Text (255). Mark it External ID and Unique; this is how customers are matched.
  • Yeti_Lifetime_Spend__c — Number (16, 2).
  • Yeti_Visits__c — Number (10, 0).
  • Yeti_Last_Visit__c — Date/Time.

All four must be visible and editable for the user who connects. If any are missing when you connect, Tillable tells you exactly which ones to add.

Step 2 — Your Salesforce admin creates a Connected App

In Setup → App Manager → New Connected App, your admin enables OAuth with the Manage user data via APIs and Perform requests at any time permissions, then sends the resulting Consumer Key and Consumer Secret to the Tillable team.

Note

The Consumer Key and Secret are configured on Tillable's side — they are not pasted into the portal. Send them to the Tillable team and we'll set them up.

Step 3 — Connect

Once both steps are done, open CRM Sync in the portal, click Connect Salesforce on the Salesforce card, and sign in to Salesforce to approve Tillable. You're brought back to the CRM Sync page.

  • Success: the card shows a notice to run Sync now to push your customers, and the badge turns Connected. The notice clears itself after a few seconds; the badge stays.
  • Missing fields: if the four Yeti_*__c fields aren't all present, you'll see a "some fields are missing" message — ask your admin to add them, then reconnect.
  • Refreshing the page does not bring either message back. If you missed one, the badge still tells you whether you're connected.

What gets synced

The same details as HubSpot: name, email, phone, lifetime spend, visits and last visit, keyed on a stable Tillable customer ID (held in Yeti_Customer_Id__c) so a contact is never duplicated. The sync is one-direction — Tillable pushes out and never reads Salesforce back, never sends marketing, and never deletes anything.

When it syncs

  • On connect — a full push of every customer.
  • On Sync now — a full re-push, any time.
  • Once a day, overnight (around 03:00 UTC) — re-pushes only customers whose spend, visits or last-visit changed.

Sync now and disconnect

The connected card gives you Sync now (an immediate full re-push) and Disconnect (stops syncing; the status returns to Not connected).
