Messages to members
Tell your loyalty members, by email, when your scheme terms, points or rewards change, or when the scheme closes.
When something about your loyalty scheme changes, your scheme terms say you will tell members first. Messages is where you do that. You pick a ready-written email, fill in a couple of blanks, and we send it to your members for you.
You can't write your own email here. Every message has fixed wording that you fill in, so a terms notice always reads like a terms notice and never like an advert.
The messages you can send
| Message | When to use it | You fill in | |---|---|---| | Terms are changing | You have updated the scheme terms | The date they change, and what's changing | | Scheme is changing | How points or rewards work is changing | The date, and what's changing | | Points expiry is changing | Points will expire differently | The date, and what's changing | | Scheme is closing | You are ending the scheme | The closing date |
These go to every member with an email address, whether or not they said yes to offers. They are service messages about the membership itself, and your scheme terms require them.
Sending one
- Go to Loyalty → Messages → New message.
- Pick the message.
- Pick the scheme. Underneath, you'll see how many members it will reach.
- Choose the date the change takes effect. It must be at least 30 days from today, so members get a full month's notice. The calendar won't let you pick anything sooner.
- Describe what's changing, in up to 500 characters. Describe the change only. No offers, links or web addresses: the email links to your terms for you.
- Press Preview to see the email exactly as members will get it, or Send a test to me to get a copy in your own inbox. A test's subject starts with [TEST].
- Press Send to N members, check the number, and confirm.
It starts sending within a few minutes.
Cancelling
Until the first email goes out, a message shows as Scheduled and you can cancel it from the list (the menu at the end of its row). Once sending has started it can't be stopped.
The list
Messages shows every message you have created for every scheme, newest first: which message, which scheme, the date it takes effect, its status, and how many emails were sent, failed or skipped out of the total. Skipped usually means the address can't receive email.
Who can send
Only the account owner and managers can send or cancel messages. Everyone else on your team sees the list but no New message button.
Limits
Each scheme can send two messages in any 30 days. Cancelled messages don't count. If you hit the limit, the screen tells you and nothing is sent.
Note
Messages is switched on for your venue by us. If you don't see a Messages tab in Loyalty, it isn't on for you yet. If the tab says messages aren't available yet, it is still being set up. Nothing is wrong with your setup.
