Search, filter and segment customers

Find people fast — search by name, email or phone, filter by tag or segment, sort, and switch to archived.

The customer list has a row of controls for finding and organising people. Everything runs on the server, so there's no row limit — search and filters work across your whole customer base, not just the page you're looking at.

CRM must be switched on for your account — see Set up CRM for your account.

The search box finds people by name, email or phone. It's case-insensitive and updates as you type (after a short pause). It does not search notes or tags — use the tag filter for tags.

Filter by tag

Once you've set up your guest tags, the All tags dropdown lists them — pick one, say "Student", to see only customers carrying it. The same dropdown is on Loyalty › Members, so you can find your student members in one click.

If you haven't set up any tags yet, you get a Filter by tag box instead. It's an exact match — case- and space-sensitive — so type the tag as it was saved.

Choose All tags (or clear the box with the ×) to go back to everyone.

Each customer has a tick box. Ticks are kept when you search again, change a filter or move to another page, so you can build a group one search at a time and then tag them all together. See Tag several customers at once.

Segments

The segment dropdown filters by how often someone orders:

  • New — 0–1 orders
  • Returning — 2–4 orders
  • Regular — 5–9 orders
  • VIP — 10 or more
  • All segments — no segment filter

Loyalty members

Loyalty members show a Loyalty marker on their row, but there is no "loyalty" segment and no loyalty filter on this page — the segment dropdown is about how often someone orders, which is a different question from whether they've joined your scheme.

To work through your members as a list, open Loyalty > Members. That is this same list with one filter pinned: the same people, the same search box, the same segment and sort controls, showing only the ones on your scheme. It adds a Tier filter, which only means anything where every row is a member, and it tells you how many of your customers are members. There is a link on it back to the unfiltered list here.

Filtering happens on the server there too, so the count at the top always matches the list underneath, however many pages it runs to. See Loyalty.

Sort

The sort dropdown orders the list by Last seen (the default), Name, Spend, Orders or First seen. The Asc / Desc button flips the direction.

Pagination

The list shows 50 customers per page. Page through with the controls at the bottom; the header count reflects whatever filters are applied. Changing a search, tag, segment or sort takes you back to the first page.

Archived customers

The View archived link (top right of the list) switches to the archived view; ← Active customers switches back. Search, filter and sort all work the same in the archived view. See Archive and restore customers.

Note

The customer count in the header always matches the rows shown — it respects your tag filter, segment and the active/archived view. If the count looks different from what you expected, check which filters and which view (active vs archived) are on.
