Customers
View, search and open your customers — one row per person across every channel.
Customers is your list of everyone who's done business with you — one row per person. It's always available, with no setup needed.
Where to find it
From the sidebar, open Customers under the CRM section.
How customers get created
You don't have to add customers by hand. A row is created automatically whenever someone gives you their details through one of your channels:
- booking a table,
- ordering from a QR code,
- or collecting an order.
Each person becomes a single row, even if they've used more than one channel — they're matched on name, email and phone so the same person isn't listed twice.
Two modes: read-only vs full CRM
Customers has two modes depending on whether the CRM add-on is switched on:
- Without the add-on (the default) it's a read-only list — you can view, search and sort, but rows don't open and there's nothing to edit.
- With the add-on on it becomes a full address book — every row opens into a detail page, and you can add, import, edit, tag, segment and archive.
If you can see CRM Sync and Custom fields in your sidebar, the add-on is on. If not, see Set up CRM for your account.
Viewing and searching
The list shows each customer with their order count, lifetime spend and when you last saw them. Use the search box to find someone by name, email or phone. With the add-on on, you also get a tag filter, segment filter and sort controls — see Search, filter and segment.
Spotting loyalty members
If you run a loyalty scheme, members carry a Loyalty marker next to their segment badge, so you can see at a glance who's signed up without opening anyone.
Open the customer and you are on their member page. Their points balance, their tier, how far they are from the next one and their whole history — points, rewards, bookings and gift cards in one list — are all on their customer record. It also says whether they have agreed to your scheme terms (Terms: v2 · agreed with the date, or Terms: v1 · not yet accepted). There is no separate loyalty page for a member. See View a customer's profile and history.
If you run more than one scheme, someone can be in several at once. The marker here and the panel on their record both show the same one — your default scheme where they are in it — and their record says in words how many others they belong to.
To see only your members, open Loyalty > Members: the same list with the membership filter pinned.
The marker only shows if your account has the Loyalty add-on — without it the list looks exactly as it always has, with no extra column and no blank space. See Loyalty.
Open a customer
Click a customer's name (or anywhere on their row) to open their detail page. (This works only with the CRM add-on on — the read-only list doesn't open into a detail page.)
The detail page shows their full picture: lifetime spend, visits, average order, last seen, a 12-month spend trend, favourite items, how they tend to pay, whether you're allowed to market to them, recent orders, and any bookings, gift cards, notes and custom fields. For the full tour see View a customer's profile and history.
Edit a customer
Customers are created automatically, so you mostly edit rather than create — to add a phone number, a tag, a note, or fill in a custom field. Tags are chosen from your own list rather than typed, so everyone picks the same one — you set that list up on Customer tags. Open the customer and click Edit (top right). To create someone from scratch — a walk-up who hasn't ordered yet — use Add customer instead. Both use the same form: see Add or edit a customer.
Tag several customers at once
Tick the box next to each customer you want, then press Add tag in the bar at the bottom of the screen and pick the tag. Everyone you ticked gets it.
Your ticks stay put while you search, so you can gather people one by one: search "Rich", tick Richard, search "Anna", tick Anna, then add the tag to both. The bar always shows how many you have ticked. The box at the top of the list ticks everyone on the page you are looking at.
Remove tag in the same bar takes a tag off everyone ticked. Clear unticks everyone. You can tick up to 500 customers at a time.
If some people can't be saved, the rest still are, and the bar tells you who was missed, for example "Tagged 42 customers with VIP. 3 couldn't be saved: Anna, Ben, Cara." Open those customers to try again.
With CRM switched on
When the add-on is enabled, Customers becomes a full address book:
- Add a customer and Import a list of contacts.
- Search, sort, segment (New, Returning, Regular, VIP) and filter by tag.
- Open each customer to edit their details, add tags and fill in custom fields.
- Archive a customer you no longer want in the active list, and view archived customers separately.
If the list says it couldn't load
If your customers can't be read, the page shows a red "We couldn't load your customers" message in place of the table — never an empty list. Your records are unchanged; this is a problem reading them, not a sign that there are none.
Reload after a moment, and quote the reference code on screen if it persists.
